<p>This is a full year/12-month position and the hours are from 7:00 am - 3:00 pm. This is a districtwide position and individual will be working at the Billerica Memorial High School.</p> <p>Registrar Responsibilities Register incoming students and answer family/guardian questions Verify residency and custody with acceptable documentation Understand various types of transcripts, grading systems, and credit systems Prepare all computer documents, paperwork, and assign counselor Follow up as needed with sending school districts to obtain cumulative folders, transcripts/grades, MCAS scores, and other pertinent information Arrange appointments for language testing and residency verification as required Assign students to designated neighborhood schools Facilitate communication and teamwork across the BPS district with various principals and assistant principals, administrative assistant staff nurse, ELL staff, nurses, counselors, special education, and the Director of School Counseling Work closely with the family liaison and translators who are supporting students and families whose first language is not English. Understand and implement laws and regulations regarding registration requirements for marginalized populations, such as refugee students, students immigrating to the United States, homeless students, and students in DCF/foster care Create cumulative folder with records received from parent and sending school Disperse information to administration, nurse, Assistant Principals, SPED, counselor, and other pertinent staff as appropriate Provide enrollment data to the School Counseling Director and/or School Counseling administrative assistant Identify IEP/504 students per registration submission data Understand and implement security procedures to ensure student records are maintained in a confidential manner Register all incoming PreK and Kindergarten students in the spring for the following school year</p> <p>Other Responsibilities Proficiency with computers and information systems Excellent communication skills Strong organizational skills and demonstrated experience in online organization of information Skilled knowledge of Google Suite applications Schedule student appointments for registration Create junior and senior lists for military personnel Assist in the senior sign out process by preparing folders and adding all health records and other necessary forms to ensure a smooth process Verify YOG for outside employment agencies either by phone or fax Sending transcripts to employers, colleges, and graduates Opening/distributing school counseling mail Greet parents/visitors to School Counseling Department Keep current with changes in address, phone number, grade, or any personal data for students, verified by proper documentation Maintain registration supplies for department Print and file all senior final transcripts</p> <p>Withdrawal of Students Prepare student sign out sheet Electronically prepare all records to send to new school including cumulative file, IEP's transcripts, health records and all testing Electronically upload all cumulative student records to the student information system when a student leaves the district Remove student from Aspen and distribute paperwork to appropriate recipients Remove File from active and place in drop file Work with the System Administrator for our student information system regarding reports to DESE</p> <p>Summer Work includes, but is not limited to: Register new and returning student enrollments over the summer Withdraw students who are transferring to other districts Work with Director of School Counseling after roll over procedure is complete in Aspen Verify and maintain incoming Grade 8 list from the middle school Communicate with middle school re: incoming Grade 8 students Communicate with Shawsheen Tech High School regarding students entering in the fall of Grade 9, and prepare cumulative folders for transfer to ST. Receive/manage all records from both middle schools for incoming Grade 8 students Combine, alphabetize, and ensure that all incoming 8th Grade folders are received from the middle schools. Follow up with sending schools if cumulative folders are not received.</p>
