<p>About the Role</p> <p>The Administrative Assistant will provide comprehensive administrative support to the Real Estate and Infrastructure Operations Department.</p> <p>What You'll Do</p> <ul> <li>Booking and processing travel (hotels, airfare, trains), reconciling associated expenses, and using agency software. </li><li>Processing and paying vehicle violations, maintaining the GPS violation log, assigning gas pins/tokens, and processing fleet-related invoices (e.g., Enterprise, mechanics, WEX). </li><li>Creating systems for, categorizing, maintaining, and fulfilling requests for physical and digital files, as well as verifying and paying invoices related to storage. </li><li>Processing general purchase requests, reconciling receipts, and organizing/submitting all REIO-managed invoices for signature and payment to Accounts Payable. </li><li>Coordinating the distribution of sponsored cell phones and laptops, assisting with technology Purchase Requisitions, and managing the inventory of assigned hardware. </li><li>Executing special projects as directed by management and serving in a customer service/liaison role, including training staff on intake and document management procedures. </li></ul> <p>Your Qualifications</p> <ul> <li>High School Diploma/GED. </li><li>Administrative experience supporting organizational leadership/executives. </li><li>Advanced proficiency in MS Office Suite and Outlook. </li><li>Proactive problem-solving, independent decision-making, professional demeanor, strong work ethic, confidentiality, and ability to thrive in a fast-paced environment. </li><li>Comfortable with budgets, fiscal procedures, and quantitative analysis. </li></ul> <p>Supervisory Responsibility: No</p> <p>Work Environment: Corporate Office, one remote day bi-weekly.</p> <p>Position Type/Expected Hours of Work:</p> <p>This is a full-time position. Days and hours of work are Monday through Friday in our Headquarters at 1333 Broadway office in Midtown Manhattan.
