<p>Description</p> <p>Help power the teams who inform, inspire, and engage Prince George's County. As the Administrative Specialist I forthePublicAffairs &CommunityEngagement Division,you'llbe the operational engine behind web, communications & marketing, graphic design & visual media, content & production, and outreach & community engagement-keeping budgets, purchases, and documentation running smoothly and strategically.</p> <p>Examples of Important Duties</p> <p>Budget and Financial Management</p> <ul> <li>Liaise with the Division Chief and Financial Management Unit on all budget and procurement matters. </li><li>Assist with preparation, monitoring, and adjustment of the Division's annual budget and budget narration. </li><li>Develop and review the annual PACE Spending Plan for the year; track requisitions, inventory, and purchase orders. </li><li>Support budget projection compilation, compliance reviews with FMU, and procedural updates. </li></ul> <p>Procurement and Contract Administration</p> <ul> <li>Manage contract documentation and vendor performance. </li><li>Assist Unit managers with P-Card reconciliation. </li></ul> <p>Performance Measures and Reporting</p> <ul> <li>Compile monthly and report out annually, the division's Performance Measures. </li><li>Prepare reports, maintain records, and draft administrative documents. </li></ul> <p>Executive and Administrative Support</p> <ul> <li>Draft formal correspondence, memoranda, and briefing documents for the Division Chief. </li><li>Support the Division Chief with meeting preparation, talking points, and follow-up action tracking. </li></ul> <p>Office Operations</p> <ul> <li>Assist with the Office Division Chief with training coordination for the divisi </li><li>Handle confidential information and coordinate with internal and external stakeholders. </li><li>Perform other duties as assigned. </li></ul> <p>Preferred Skills:</p> <ul> <li>Strong knowledge of budgeting, procurement, and financial reporting processes </li><li>Experience developing and managing spending plans and purchase orders </li><li>Familiarity with contract administration and vendor management </li><li>Proficiency with financial systems, Microsoft Excel, and database tools </li><li>Ability to analyze financial data and provide cost-saving recommendations </li><li>Excellent organizational and time management skills </li><li>Strong written and verbal communication skills </li><li>Ability to manage confidential information with discretion </li><li>Experience with performance measurement tracking and reporting </li><li>Ability to coordinate cross-functional efforts and support general office operations </li></ul> <p>Minimum Qualifications</p> <p>Minimum Qualifications (MQs):</p> <ol> <li> <p>Bachelor's Degree in Human Resource Management, Finance, Business or any related field.</p> </li><li> <p>One (1) year of experience in human resource management, finance or any other related area of business administration.</p> </li><li> <p>An equivalent combination of education and experience may be substituted, which together total 5 years.</p> </li></ol> <p>Supplemental Information</p> <p>Class/Specification: Administrative Specialist I</p> <p>May be subject to medical, drug and alcohol testing.</p> <p>The Maryland-National Capital Park and Planning Commission (M-NCPPC) is an Equal Opportunity Employer.
