<p>At NorthBay Health, the Executive Assistant is responsible for providing administrative support to senior leaders and as assigned, direct reports in a variety of capacities including management of the executive calendars, meetings and assistance on special projects to meet organizational strategic goals and objectives; conducts event and meeting planning, assists with meeting activities, manages correspondence, and composes a variety of documents/reports. This position will support the system COO as well as office of the General Counsel.</p> <ul> <li> <p>Assists executives in the management his/her respective schedule.</p> </li><li> <p>Assists the executive in variety of capacities to meet organizational strategic goals and objectives.</p> </li><li> <p>Coordinates the MCS contract signature process, maintains contract filing systems, completes documents for health plans, coordinates mass mailing projects, and conducts internet searches for information. Interfaces with health plan representatives. Assists with other projects as requested.</p> </li><li> <p>Supports activities of assigned committees; prepares materials for meetings; coordinates follow-up.</p> </li><li> <p>Attends a variety of meetings; assists with special projects.</p> </li><li> <p>Demonstrates ability to manage multiple priorities; meet designated deadlines.</p> </li><li> <p>Handles telephone calls and other forms of communication; performs routine office functions.</p> </li><li> <p>Performs notary services for NorthBay Health and its employees if certified.</p> </li><li> <p>Education: Bachelor's degree preferred.</p> </li><li> <p>Licensure/Certification: Notary Public preferred.</p> </li><li> <p>Experience: Minimum of five years of experience supporting top level management/ executive.</p> </li><li> <p>Skills:</p> </li><li> <p>Excellent oral/written communication skills.</p> </li><li> <p>Demonstrated ability to handle multiple tasks simultaneously. Exceptional organizational skill; ability to meet designated deadlines.</p> </li><li> <p>Possess a high degree of proficiency with MS Office suite. Demonstrates advanced computer skills; develops PowerPoint presentations, Excel spreadsheets, composes a variety of correspondence and reports (MS Office).</p> </li><li> <p>Strong writing & proofreading skills;</p> </li><li> <p>Ability to maintain the highest level of confidentiality; demonstrates discretion handling sensitive material/matters concerning the organization and personnel matters.</p> </li><li> <p>Displays excellent customer service skills.</p> </li><li> <p>Works independently and collaboratively with minimal supervision utilizing a high level of motivation, initiative, good judgment, and diplomacy in a diverse business environment.</p> </li><li> <p>Requires outstanding interpersonal skills including problem solving and critical thinking, excellent communication and diplomacy skills, able to handle multiple projects, set up complex meetings.</p> </li><li> <p>Interpersonal Skills: Demonstrates the True North values.
