<p>Posted: June 10, 2025 Closed: June 17, 2025 Applications will be reviewed as submitted so please apply early in the posting if possible.</p> <p>Employment Opportunity: District-Central Office POSITION: Payroll Specialist TBD</p> <p>Shrewsbury Public Schools is currently accepting applications for a Payroll Specialist for the District Office. This is a full year-round position with paid sick, personal, and vacation time, and includes health and other insurance options. This is a Town Retirement-eligible position. Candidates with diverse racial, ethnic, cultural, religious, class, and/or gender background and experiences are strongly encouraged to apply.</p> <p>Essential Duties: The Payroll Specialist will have a variety of assigned responsibilities and also perform a variety of tasks or projects as assigned by the Assistant Superintendent for Finance and Operations. Major responsibilities include but are not limited to those specified below.</p> <p>PAYROLL</p> <ul> <li>Coordinate with Human Resources, the Business Office and the Town Benefits Coordinator in the collection of information concerning new hires, status changes, resignations and retirements, along with pay rate and locations changes </li><li>Create new hire packets and meet with newly hired employees throughout school year </li><li>Maintain confidential information, such as leaves of absence, salaries, stipends, union issues, and payroll deductions </li><li>Respond to a high volume of employee inquiries regarding payroll and work with Human Resources to resolve issues </li><li>Foster and maintain relationships with various stakeholders including school secretaries/administrative assistants, IT, Town Treasurer and Town Accounting offices </li><li>Collect timesheets and all mandatory forms essential to the payroll process. Review and analyze them for accuracy and completeness within the timeframe of the applicable pay period </li><li>Complete bi-weekly payrolls for 1000+ employees in Munis, the payroll system of record, in compliance with all applicable laws and bargaining contracts </li><li>Calculate and record payments due to COLA increases, step increments, absences, overtime, leaves of absence and retro payments </li><li>Create annual salary tables and pay calendars for all bargaining units and non-represented employees </li><li>Continually evaluate and improve tracking methodologies to streamline the collection and recording of timesheets and other pay related data needed for payments </li><li>Perform monthly internal audits for accuracy </li><li>Update procedures based on new policies, collective bargaining agreements and legislation </li><li>Process wage verifications and generate reports as needed for other departments and stakeholders </li><li>Participate in project teams to improve operations and processes </li></ul> <p>BENEFITS & REPORTING</p> <ul> <li>Upload and complete monthly MTRS and biweekly PenServ 403(b) files </li><li>Submit monthly reports and payments to vendors of deductions withheld from employee pay </li><li>Process enrollments and maintain and calculate deductions for MTRS, Disability, Dental and Vision premiums, and 403(b) contributions </li><li>Track missed deductions for unpaid leave of absences and set up repayment plans </li><li>Coordinate Open Enrollment periods, intake of changes and submit documents to appropriate Vendors </li><li>Track, issue and determine eligibility for end of year vacation and sick leave buyback payments </li></ul> <p>Requirements:</p> <ul> <li>Advanced spreadsheet and computer applications background and experience </li><li>Knowledge of Munis a plus, or capable of learning quickly </li><li>Proficient in Excel, Word, Power Point, Adobe, and Google Apps </li><li>Must be able to handle large volume of data and multi-task </li><li>Critical thinking skills, able to work independently and on a team </li><li>Minimum of Associate's Degree in Accounting, Finance or related Business field </li><li>Demonstrates the core values of Shrewsbury Public Schools </li><li>Understanding of municipal unions and contracts </li><li>Communicate and collaborate effectively </li><li>Extreme attention to detail and deadline oriented </li></ul> <p>Preferred:</p> <ul> <li>Bachelor's degree in Accounting, Finance or related Business field with at least two years of related experience </li><li>Above educational requirements may be waived if the candidate has either a combination of relevant coursework, training, or on the job training demonstrating they will be successful in this role. </li></ul> <p>The current rate is $25.86-$32.32 per hour, based on years of administrative or Payroll experience.
