<p>Please click HERE to apply.</p> <ul> <li> <p>Serves as the special assistant to the Director of the Bureau of Finance and Operations (BAFO) within the Office of Public Health (OPH).</p> </li><li> <p>Manages and coordinate the Director's daily calendar, meetings, and scheduling priorities, including routine operations and special projects.</p> </li><li> <p>Prepares meeting materials, including agendas, handouts, and binders.</p> </li><li> <p>Independently drafts and prepares correspondence, memoranda, reports, and briefing materials, involving complex, sensitive, and non-routine matters.</p> </li><li> <p>Prepares meeting summaries, action-item documentation, and follow-up to ensure clarity of direction and accountability.</p> </li><li> <p>Tracks assignments and follow-up on items to ensure timely completion</p> </li><li> <p>Monitors recurring reporting deadlines and ensure required documentation is submitted timely.</p> </li><li> <p>Serves as a liaison between the Director and staff, assessing the urgency of matters and briefing the Director as needed.</p> </li><li> <p>Processes routine documentation and enter data into spreadsheets, logs, and databases in accordance with program requirements.</p> </li><li> <p>Leadsonboarding/off-boarding</p> </li><li> <p>Prepares requisitions for the purchase of supplies</p> </li><li> <p>Serves as time administrator for the Bureau</p> </li><li> <p>Other tasks as assigned.</p> </li></ul> <p>QUALIFICATIONS</p> <p>REQUIRED:</p> <ul> <li> <p>Bachelor's Degree, or Associates degree with 3 years professional experience, or 6 years professional experience in lieu of the degree.</p> </li><li> <p>Minimum 2 years professional experience performing administrative functions within an office environment or health care field.</p> </li><li> <p>Excellent analytical skills, effective organizational and time management skills.</p> </li><li> <p>Great attention to detail and follow up.</p> </li><li> <p>Ability to manage projects, assignments, and competing priorities.</p> </li><li> <p>Proficient in the use of Microsoft Office, including but not limited to Outlook, Word, and Excel.</p> </li></ul> <p>DESIRED:</p> <ul> <li> <p>Advanced degree.</p> </li><li> <p>Minimum 3 years professional experience performing administrative functions within an office environment or health care field.</p> </li><li> <p>Minimum 2 years professional experience managing complex calendars, schedules, and coordinating meetings.</p> </li><li> <p>Minimum 2 years professional experience with project or program coordination.</p> </li><li> <p>Relevant industry certifications.</p> </li></ul>
