<p>Job Summary: The Manager of Document Management oversees the end-to-end lifecycle of patient documentation within the Electronic Medical Record (EMR) system. This role ensures timely, accurate, and compliant processing of high-volume medical documents, including faxes, scanned files, and electronic exchanges. The manager leads a team of document associates and collaborates with clinical, quality, and IT teams to optimize workflows, reduce errors, and improve operational efficiency.</p> <p>Essential Functions of the Position</p> <p>Supervise daily operations of document management associates across multiple offices</p> <p>Oversee document intake, classification, and routing processes using systems such as Epic, OnBase, and Biscom</p> <p>Develop and implement best practices for document naming, splitting, and routing to appropriate care teams</p> <p>Monitor productivity metrics (e.g., volume processed, turnaround time) and generate performance reports</p> <p>Collaborate with IS and Quality departments to resolve workflow inefficiencies and improve audit trails</p> <p>Lead training and onboarding for new staff and provide ongoing education on system updates and compliance standards</p> <p>Participate in cross-functional meetings to align document workflows with clinical and operational goals</p> <p>Promotes effective working relationships with nursing personnel, the management team and health care providers</p> <p>Attends required meetings</p> <p>Seeks guidance and resources, when necessary, in care and treatment of patients</p> <p>Complies with federal and local confidentiality laws, including HIPAA, ensuring patient privacy</p> <p>Adheres to Brown Health Medical Group Primary Care guidelines and policies for protecting patients' demographic, clinical and financial information</p> <p>Performs other job-related duties as assigned</p> <p>Education and Experience</p> <p>High School Diploma required; Associate's or Bachelor's degree preferred</p> <p>Minimum 3 years of experience in healthcare document management or health information systems.</p> <p>Prior supervisory or team lead experience strongly preferred</p> <p>Proficiency in EMR systems (Epic), document management platforms (OnBase), and Microsoft Office Suite</p> <p>Knowledge, Skills, and Ability</p> <p>Capacity to collaborate with colleagues and teammates as necessary to ensure quality work</p> <p>Ability to work both on a team and independently, with the capability to self-direct</p> <p>Ability to use technology with proficiency in electronic medical record (EMR) platforms and Microsoft Office applications such as: Outlook, Excel, and Word</p> <p>Ability to function well in a high-paced and at times stressful environment</p> <p>Capacity to multi-task, think critically and problem solve</p> <p>Clear assessment, creativity, judgment, and decision-making skills</p> <p>Ability to take initiative, organize, prioritize, and follow through with work assignments assuring fulfillment of plans and goals</p> <p>Excellent communication skills - both verbal and written</p> <p>Ability to maintain quality, safety, and/or infection control standards</p> <p>Ability to perform standard clinical procedures according to established protocols</p> <p>Ability to maintain professionalism and provide superior customer service to all</p> <p>Physical Requirements</p> <p>This role is primarily hybrid</p> <p>Prolonged periods of sitting at a desk or standing while using a computer</p> <p>Work and move among all departments of Brown Health Medical Group</p> <p>Excellent hand/eye coordination</p> <p>Lift up to 15 pounds</p> <p>Manual dexterity to operate a personal computer or laptop as well as standard office machines and equipment as it pertains to one's position</p> <p>State-wide travel and operation of motor vehicle may be required for offsite meetings and trainings</p> <p>Must have a valid driver's license and clear driving record</p> <p>Use of personal vehicle and proof of auto insurance is necessary</p> <p>Pay Range:</p> <p>$64,480.00-$106,412.80</p> <p>EEO Statement:</p> <p>Brown University Health is committed to providing equal employment opportunities and maintaining a work environment free from all forms of unlawful discrimination and harassment.</p> <p>Location:</p> <p>Brown Health Medical Group Primary Care - 593 Eddy St - Executive Suite Providence, Rhode Island 02903</p> <p>Work Type:</p> <p>7:30am-4:00pm</p> <p>Work Shift:</p> <p>Day</p> <p>Daily Hours:</p> <p>8 hours</p> <p>Driving Required:</p> <p>Yes</p>
