<p>The Event Services Coordinator - Flex will provide excellent customer service and assist in the planning and execution of Fairgrounds events. Event coordination may extend to, but not limited to, The Nashville Fair, Nashville Flea Market, consumer shows, banquets, conventions, live entertainment, and sporting events. Focusing on the details behind every event and creating one-of-a-kind experiences for clients and customers.</p> <p>If interested in applying, please send your resume to Ryan.Jensen2@nashville.gov This will be considered as your official application.</p> <ul> <li>Assists with the planning, coordination and execution of special event plans including customer engagement, event layouts, and event day engagement </li><li>Collaborates with division managers to plan event logistics </li><li>Establishes and maintains strong relationships with exhibitors, vendors, clients, promoters and ensures the highest level of customer satisfaction </li><li>Develop a strong understanding of Fairgrounds Event Program to create event records that may include, but are not limited to, contracts, event orders, logistic timelines, and invoicing </li><li>Ensures event layouts and day-of activities comply with local regulations including, but not limited to fire marshal, capacity, and codes </li><li>As part of the event team, provide assistance with the movement of equipment and fixtures such as audio/visual, chairs, tables and/or other duties as part of the event set up/teardown and may include use of forklifts and golf/utility carts </li><li>Assists with the maintenance and inspection of tools and equipment needed to perform event activities </li><li>Develop post-event surveys and reports that include client feedback, cost summaries and improvement recommendations </li><li>Tracks use and condition of rented event equipment, fixtures, and furniture </li><li>Monitors events for compliance with contracts and/or license agreements </li><li>May provide maintenance, operations, and parking services </li><li>Cash handling, reconciliation, processing </li><li>Provides customer service and resolves conflicts </li><li>Performs various supervisory duties in the absence of the Event Services Manager </li><li>Makes staff assignments for selected seasonal and temporary employees </li><li>Trains employees as needed </li></ul> <p>Supervision exercised/Supervision Received:</p> <p>Employee may supervise a small staff consisting of seasonal and temporary workers</p> <p>Employee receives direction from and reports to the Event Services Manager.</p> <p>Working Conditions/Physical Demands:</p> <p>Work involves moderate risks for discomforts which require special safety precautions, e.g., working under extreme outdoor weather conditions, working around moving parts, carts, or machines. May be required to use personal protective equipment. </p> <p>Requires some physical exertion such as standing for long periods, walking, climbing, bending, stooping, lifting and transporting objects, stretching, or similar activities. Ability to lift up to 50 pounds.</p> <p>Position requires flexible work week and shifts to include weekends, days over 8-hours, late nights, and early mornings.</p> <p>EDUCATION AND EXPERIENCE</p> <p>Bachelor's degree in event management, marketing, or related field preferred and/or minimum three (3) years' experience in coordinating or marketing events.</p> <p> </p> <p>LICENSE REQUIRED</p> <p>Forklift certification</p> <p>Candidates with accreditations earned in a foreign institute are encouraged to apply.</p> <p> Note: Per Metro Ordinance No. SO94-1078.
