<p>Description</p> <p>Job Overview:</p> <p>As an Assistant Executive Director you would be responsible to manage and administer the day-to-day operations of the Community Association business as a second to the Executive Director. Maintain communication with Board of Directors, Board Appointed Committees, and homeowners.</p> <p>Your Responsibilities:</p> <ul> <li> <p>Provide exceptional customer service to clients and vendors at all times</p> </li><li> <p>Assure that the policies, resolutions and other acts of the Board are carried out</p> </li><li> <p>Be knowledgeable of all Association Governing Documents, Rules and Regulations and general legal requirements of a community association</p> </li><li> <p>Provide excellent customer service and maintain open lines of communication with fellow Associates, homeowners and Board of Directors</p> </li><li> <p>Be available to be on-call to handle after hours emergencies</p> </li><li> <p>Follow all policies and procedures of the company and Association</p> </li><li> <p>Such other duties and responsibilities as may reasonably directed and required. Maintain and manage the governing documents for the Association</p> </li><li> <p>Ensure maintenance of all files, records and correspondence in accordance with company procedures and good business practices</p> </li><li> <p>Attend all Board meetings</p> </li><li> <p>Collaborate on special projects with the Executive Director as assigned</p> </li><li> <p>Assist with preparation of Board meeting agenda, monthly management report and all other reports and material needed for Board Packet</p> </li><li> <p>Serve as Staff Liaison for Board Appointed Committees as assigned</p> </li><li> <p>Assist with establishing an annual calendar indicating all association activity, deadlines, election, meetings, projects, etc.</p> </li><li> <p>Oversee the Document Retention Program for Association Records</p> </li><li> <p>Lead technology and communication efforts with the vendor, community members and associates</p> </li><li> <p>Assist with preparation of specifications needed for all services received by the Association (e.g., insurance, Phone, IT, software etc.)</p> </li><li> <p>Work with the Fitness Coordinator to prepare annual event, class schedule, and line-up independent contractors for operational fulfillment through the efforts of the Fitness Coordinator</p> </li><li> <p>Develop and manage Fitness budget with assistance from the Fitness Coordinator</p> </li><li> <p>Supervision and training of Customer Service Desk and Fitness Department Associates</p> </li><li> <p>Supervision of Room Reservation Coordinator and oversight of room usage</p> </li><li> <p>Supervision of Membership Coordinator</p> </li><li> <p>Supervision of Customer Services Coordinator</p> </li><li> <p>Oversight of activity registration and upkeep of registration software</p> </li></ul> <p>Skills & Qualifications:</p> <ul> <li> <p>Minimum BA/BS with 5+ years' experience with Homeowner Association Management, Public Sector Management, or other equivalent experience</p> </li><li> <p>CAI Certifications and/or a master's degree is a plus</p> </li><li> <p>Experience in administrative management, budget development, finance, and insurance</p> </li><li> <p>Experience working with a Board of Directors</p> </li><li> <p>Strong computer skills including Microsoft Word, Excel and Adobe</p> </li><li> <p>Strong written and verbal communication skills</p> </li><li> <p>Commitment to obtain/maintain CAI designations or equivalent (i.e. CMCA, AMS, and/or PCAM)</p> </li></ul> <p>Physical Requirements / Working Environment</p> <p>The physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job. For safety reasons, employee must remain alert to working conditions and aware of safety, health, and environmental concerns.</p> </li><li> <p>Must be able to work effectively and cheerfully in an environment which may be stressful due to adversarial situations resulting from the proper performance of duties.</p> </li><li> <p>Position involves sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying and moving objects that can weigh up to 25 lbs. This movement can occur throughout the day. Must also be able to climb several flights of stairs if necessary.</p> </li><li> <p>Must be able to sit and stand for extended periods of time.</p> </li><li> <p>Must be able to communicate both on the phone and in person with our clients in order to resolve issues and manage the business.</p> </li><li> <p>Must have finger dexterity for typing/using a keyboard.</p> </li><li> <p>Must be mobile enough to move around both the office in order to make copies, send mail and faxes and to walk around the property. This could include lengthy walks on uneven areas.</p> </li><li> <p>Talking and hearing occur continuously in the process of communicating with guests, supervisors, and other associates.</p> </li><li> <p>Capable of working extended hours, to include evenings, weekends and holidays as necessary.</p> </li><li> <p>This position may alternate between working indoors in a controlled climate and with proper lighting, to an outdoors setting with variable climate and lighting.</p> </li><li> <p>Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills.</p> </li><li> <p>Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Hours over and above normal office hours will occur, including evenings, holidays, and some weekends. Schedule is subject to change based on business needs.</p> <p>What We Offer:</p> <p>As a full-time exempt associate, you will be eligible for full comprehensive benefits to include your choice of multiple medical plans, dental, vision, and others. In addition, you will be eligible for time off benefits, paid holidays and a 401k with company match.
