<p>JOB OVERVIEW</p> <p>Performs a variety of secretarial and administrative functions in support of a legal staff of a county wide agency.</p> <p>MINIMUM QUALIFICATIONS</p> <p>An Associate's Degree from an accredited college or university; and two or more years of experience as a Secretary in the legal field.</p> <p>Or any equivalent combination of education, training and experience that would reasonably be expected to provide the job-related competencies noted below.</p> <p>CORE COMPETENCIES</p> <ul> <li>Customer Commitment - Proactively seeks to understand the needs of our customers and provide the highest standards of service </li><li>Dedication to Professionalism and Integrity - Demonstrates and promotes fair, honest, professional and ethical behaviors that establishes trust throughout the organization and with the public we serve </li><li>Organizational Excellence - Takes ownership for excellence through one's personal effectiveness and dedication to the continuous improvement of our operations </li><li>Success through Teamwork - Collaborates and builds partnerships through trust and the open exchange of diverse ideas and perspectives to achieve organizational goals </li></ul> <p>JOB SPECIFIC COMPETENCIES</p> <ul> <li>Experience in state and federal litigation preferred, with an emphasis in Eminent Doman and Mortgage foreclosure litigation highly desirable </li><li>Knowledge of legal office administrative practices and procedures </li><li>Knowledge of legal terminology and court procedures </li><li>Knowledge of the operation of word processing and data processing equipment </li><li>Working knowledge of English grammar, punctuation and spelling </li><li>Abilities to e-file in state courts </li><li>Ability to work effectively with others </li><li>Ability to transcribe dictation </li><li>Ability to type 50 words per minute with near 100% accuracy </li><li>Ability to use a computer and related software </li><li>Ability to handle confidential information </li><li>Ability to maintain work related records and prepare reports </li><li>Ability to communicate effectively, both orally and in writing </li><li>Ability to provide basic legal assistance and/or conduct legal research under the supervision of an attorney </li></ul> <p>REPRESENTATIVE DUTIES</p> <p>Note: The following duties are illustrative and not exhaustive. Depending on assigned area of responsibility, incumbents in the position may perform some or all of the activities described below.</p> <ul> <li>Prepares and types legal pleadings including complaints, affidavits, notices of hearing, motions, orders, stipulations and discovery documents for filing in court. </li><li>Composes, edits and types correspondence. </li><li>Coordinates the distribution of incoming and outgoing mail. </li><li>Schedules court hearings, depositions, mediation conferences and other meetings to ensure the timely disposition of cases. </li><li>Coordinates arrangements and agenda for various commission and board meetings and conferences; assembles materials, compiles agenda and attends meetings. </li><li>Acts as liaison with witnesses and prepares subpoenas for depositions and trial. </li><li>Obtains information and prepares responses to discovery requests, such as interrogatories, and requests for the production of documents. </li><li>Maintains files and tracks deadlines for discovery and responses to pleadings. </li><li>Files complaints and other pleadings with the appropriate court and/or judge. </li><li>Maintains activity reports and submits appropriate documentation to specific units. </li><li>Responds to inquiries from the public, government agencies and the news media to provide general or detailed information, as appropriate. </li><li>Performs a variety of secretarial activities including transcribing dictation, maintaining supervisor's appointment calendar, and establishing and ensuring the maintenance of a comprehensive, central filing system. </li><li>Maintains the confidentiality of records and reports pertaining to the work of the division or department. </li><li>May be required to be cross-trained in the performance of basic legal assistance and/or legal research under the supervision of an attorney. </li><li>Performs business related activities and functions regarding legal office administrative practices and procedures. </li><li>Performs other related duties as required. </li></ul>
