<p>Description</p> <p>Title: Program Specialist (Scheduler)</p> <p>Position Number: 0097182</p> <p>Hiring Unit: UH MANOA, Provost, Office of the Vice Provost for Academic Excellence</p> <p>Location: UH at Manoa</p> <p>Date Posted: August 19, 2025</p> <p>Closing Date: September 4, 2025</p> <p>Band: B</p> <p>Salary : salary schedules and placement information</p> <p>Full Time/Part Time: Full-time</p> <p>Month: 11-month</p> <p>Temporary/Permanent: Permanent</p> <p>Duties and Responsibilities</p> <ul> <li>*Provides professional administrative support for the daily operations of scheduling by preparing the schedule of classes with high use of database, spreadsheet, and scheduling software. </li><li>*Assigns spaces for academic use with minimum supervision. Develops final exam schedule by communicating with departments and colleges. </li><li>*Resolves problems related to class scheduling, with extensive personal contact with university faculty and staff. </li><li>*Identifies and resolves discrepancies in departments' class schedules as related to student registration. </li><li>*Trains and assists in the supervision of student employees. </li><li>*Prepares, reviews and analyzes administrative documents, including digital files and web pages. </li><li>*Exercises appropriateness and propriety, identifies problem areas and resolves discrepancies. </li><li>*Provides support for operations including but not limited to: assisting in providing departmental training on scheduling procedures and software; providing quality assurance/quality control of departments' submissions; and providing feedback and input when establishing and revising office procedures. </li><li>Provides a high level of customer service to secretaries, chairs, deans, and collaborating units in a positive, professional, and timely manner. </li><li>*Prepares and coordinates responses to requests, including but not limited to telephone, e-mail or other electronic systems to meet the requestor's needs and resolve issues. </li><li>*Responsible for identifying frequent and repetitive inquiries to the office to determine any underlying issues that may exist and to collaborate with appropriate units to resolve or minimize future concerns. </li><li>*Tests system upgrades </li><li>*Acts as a resource for providing solutions to class schedule entry and processing issues. </li><li>*Manages user accounts, special access and removal of inactive accounts related to the scheduling software systems. </li><li>*Provides support for the new term creation in the scheduling software and updating the schedule entry tables and forms. </li><li>*Serves as a backup (as delegated) during the absence of the supervisor. </li><li>Other duties as assigned </li><li>Denotes Essential Functions </li></ul> <p>Minimum Qualifications</p> <ul> <li>Possession of a baccalaureate degree in social science, arts and humanities, science, education, business, or related field and 3 year(s) of progressively responsible professional experience with responsibilities for scheduling management, records management, business administration, and/ or academic operations; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated. </li><li>Considerable working knowledge of principles, practices and techniques in the area of business or academic administration, scheduling management, software implementation, or related field demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies. </li><li>Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with higher education. </li><li>Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner. </li><li>Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials. </li><li>Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members and individuals. </li><li>Demonstrated ability to operate a personal computer and apply word processing and spreadsheet software. </li><li>If applicable, for supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations. </li><li>Significant experience with word processing, spreadsheets, databases, and/or scheduling software. </li><li>Ability to lead student employees. </li><li>Demonstrated ability to work independently, establish and identify priorities and organize resources. </li><li>Demonstrated ability to effectively communicate and exercise a high level of customer service. </li></ul> <p>Desirable Qualifications</p> <ul> <li> <p>Experience with student information systems (Banner).</p> </li><li> <p>Experience with class or room scheduling software (such as 25Live or Coursedog)</p> </li><li> <p>Knowledge of University of Hawaii and the applicable laws, administrative rules, policies, procedures, guidelines, and practices for class scheduling.</p> </li><li> <p>Knowledge of University of Hawaii at Manoa campus physical environment (buildings and outdoor locations) in order to schedule classes</p> </li><li> <p>Flexibility and creativity in effective problem-solving within a higher education institution.</p> </li><li> <p>Two (2) or more year(s) of progressively responsible professional experience with responsibilities for scheduling management, records management, business administration, and/or academic operations</p> </li></ul> <p>To Apply:</p> <p>If you have not applied for a position before using NeoGov, you will need to create an account.</p> <p>Click on the "Apply" button on the top right corner of the screen to complete an application and attach required documents.
