We are searching for someone who shares the same passion and mission to join our dynamic team.</p> <p>The Franco Family Institute for Liberal Arts and the Public Good is seeking an Events Specialist to support the planning and execution of scholarly conferences and academic events that further the Institute's mission. In this role, the Events Specialist will collaborate with faculty, staff, and external partners to manage logistics, provide guidance on best practices, and ensure seamless event execution. This role reports directly to the Assistant Director of Conferences.</p> <p>About the Institute:</p> <p>After 40 years of supporting faculty research, hosting compelling speakers, fostering student research, and convening interdisciplinary conferences, the Institute for Scholarship in the Liberal Arts (ISLA) at the University of Notre Dame is being reimagined as the Franco Family Institute for Liberal Arts and the Public Good. This transformation presents a unique opportunity to leverage Notre Dame's strengths in the humanities and build a dynamic connection with South Bend and the surrounding region, while continuing its commitment to excellence in the liberal arts. The Institute's new direction aims to create a hub for public engagement and academic collaboration, setting a model for higher education institutions more broadly.</p> <p>Essential Duties & Responsibilities:</p> <p>Event Management</p> <ul> <li>Assist in the management of academic conferences and events from ideation through execution. </li><li>Develop and oversee event budgets, track expenses, and process reimbursements. </li><li>Manage logistics, including travel arrangements, lodging, catering, audiovisual needs, and venue coordination. </li><li>Plan and facilitate regular check-ins with stakeholders to ensure event goals are met. </li><li>Assist with event customization, including branding, decor, and gift selection. </li></ul> <p>Faculty Support</p> <ul> <li>Provide on-site supervision for select conferences and events. </li><li>Advise faculty on best practices for planning and executing academic events. </li><li>Work with faculty to develop event budgets for funding proposals. </li><li>Assist in timeline development and vendor selection based on faculty needs. </li></ul> <p>Partnerships</p> <ul> <li>Collaborate with University Operations, Events and Safety (UOES), Controller's Office, and other campus departments to facilitate successful events. </li><li>Work with Notre Dame's global sites to support select international events. </li><li>Support the Franco Institute's broader mission through participation in staff meetings and special projects. </li></ul> <p>Administration & Reporting</p> <ul> <li>Maintain detailed event records and support financial reconciliation. </li><li>Participate in post-event debrief meetings to assess effectiveness and areas for improvement. </li><li>Assist in designing metrics and tracking engagement data to support strategic planning. </li></ul> <p>#LI-AW1</p>
