You can learn about our benefits here: https://humanresources.baltimorecity.gov/hr-divisions/benefits</p> <p>Job Summary</p> <p>The Baltimore City Department of Housing and Community Development (DHCD) was created in 1968 and leads City efforts to promote thriving neighborhoods through community revitalization investments; supporting homeowners; funding critical programs and neighborhood stakeholders; creating and preserving affordable housing; and ensuring safe conditions through code enforcement. The Executive Assistant to the Housing Commissioner reports directly to the Housing Commissioner and provides them with high-level day-to-day administrative and strategic support. The Executive Assistant will be a strong administrative professional that performs a variety of complex office, administrative and keyboarding work using Microsoft Office and other proprietary software programs to support DHCD agency leadership. The position is also responsible for tasks such as scheduling, managing emails, and meeting preparation for the Commissioner.</p> <p>Essential Functions</p> <ul> <li>Attends, conducts, and participates in meetings conferences and similar situations to gather or present information. </li><li>Exercises sound independent judgment in screening mail, telephone calls and visitors; decides what matters come to superior's attention; provides information or answers to questions not requiring superior's attention. </li><li>Maintains appointment schedule and arranges meetings and conferences for Housing Commissioner; suggests and arranges alternate dates when original schedule cannot be met; notifies superior in advance of meetings and assembles correspondence, files and other material for meetings. </li><li>Maintains meeting notes for meetings attended by the superior. </li><li>Composes correspondence independently; routes information or work instructions from supervisor to staff members; monitors deadlines and follow-up actions. </li><li>Establishes and maintains effective working relationships with other employees necessary to expedite matters for superior. </li><li>Performs other related work as required </li></ul> <p>Minimum Qualifications</p> <p>Education: Have a bachelor's degree from an accredited college or university.</p> <p>AND</p> <p>Experience: Have five (5) years of experience in performing executive level administrative support work including two years working in a confidential environment.</p> <p>OR</p> <p>Equivalency Notes: Have an equivalent combination of education and experience.</p> <p>Knowledge, Skills, and Abilities</p> <ul> <li>Knowledge of office practices and procedures. </li><li>Knowledge of the basic uses and capabilities of computers and information technology. </li><li>Knowledge of English grammar and usage, spelling, punctuation and vocabulary. </li><li>Proficiency in the application of Microsoft Office Suite Products to produce letters, reports and presentations. </li><li>Ability to prepare correspondence and reports. </li><li>Ability to attend and participate in meetings. </li><li>Ability to maintain effective working relationships with agency staff and the general public. </li><li>Ability to communicate effectively, both orally and in writing. </li><li>Ability to adjust priorities, complete multiple tasks accurately and efficiently to meet changing deadlines. </li><li>Ability to work independently and in a collaborative team environment. </li><li>Ability to take initiative and follow through on tasks. </li></ul> <p>Additional Information</p> <p>Background Check</p> <p>Eligible candidates under final consideration for appointment to positions identified as positions of trust will be required to complete authorization for a Criminal Background Check and/or Fingerprint screening, and must be successfully completed.</p> <p>Probation</p> <p>All persons, including current City employees, selected for this position must complete a choose a term mandatory probation.</p> <p>Financial Disclosure</p> <p>This position is required to complete a Financial Disclosure pursuant to Sections 7-7, 7-8, and 7-9 of the City Ethics Law.
