<p>The Executive Assistant to the Dean plays a critical role in supporting the day-to-day operations of the Dean's Office. With a thorough understanding of policies and procedures and the Whitman School of Management and Syracuse University, the Executive Assistant is responsible for managing a range of administrative functions. These functions include the hiring of faculty, promotion and tenure procedures in partnership with the Office of Faculty Affairs, and assessment and accreditation processes. The Executive Assistant interacts with a wide range of individuals and stakeholders, including members of the Whitman community, Syracuse University senior leadership, administrators, and alumni, public and private officials, students, and parents.</p> <p>Education and Experience</p> <ul> <li>Bachelor's degree or equivalent plus 5-8 years of work experience preferably in an academic environment. </li></ul> <p>Skills and Knowledge</p> <ul> <li>Role requires excellent communication and organizational skills, both in writing and verbally. This will require mastery of the English language at a professional level. </li><li>Requires a level of comfort with multitasking, adaptability to changing circumstances and priorities, paying close attention to detail, and proficient in computer software such as Excel, Word and PowerPoint. </li><li>Certification in Excel would be a definite advantage as would familiarity with data visualization tools such as Tableau. </li><li>Must be committed to high professional standards, including discretion, ability to work with others of different backgrounds, adaptability, and an ability to deal with stress. </li><li>The ability to work independently, make quick decisions, and show cultural sensitivity are also required. </li></ul> <p>Responsibilities</p> <p>Executive support:</p> <ul> <li>Responsible for providing executive level administrative support, including managing the Dean's schedule, organizing travel arrangements, overseeing meeting logistics, booking rooms, arranging catering, managing credit card and expense reconciliations, and handling needed details to ensure highly professional management of operations and events. </li><li>Responsible for preparing meeting agendas, taking minutes at faculty and staff meetings, as well as other events hosted by the Dean. </li><li>Maintain list of events throughout the year that require the Dean's participation. </li><li>Request talking points, script and runs of show when available/relevant. </li><li>Work on high-level projects related to administrative functions and Whitman School cultural building as needed. </li><li>Hire and manage student workers in the Dean's Office. </li></ul> <p>Assessment and accreditation support:</p> <ul> <li>Responsible for assisting with the preparation, coordination, and implementation of assessment and accreditation activities, ensuring that they are aligned with the school's goals and objectives. Provide guidance and support to faculty and staff they participate in the assessment and accreditation process. </li><li>Responsible for tracking progress, collecting data, and preparing reports that demonstrate the school's ongoing commitment to quality and improvement, in conjunction with others within Whitman and in Syracuse University administrative offices. </li></ul> <p>Promotion & Tenure Committee support:</p> <ul> <li>Provide administrative support to the school's Promotion and Tenure (P& T) Committee and expertise in P& T processes and operational support for the committee. </li><li>Prepare reports and materials to communicate with internal and external reviewers. </li></ul> <p>Faculty hiring & management support:</p> <ul> <li>Ensure smooth procedures related to faculty hiring and leave procedures. </li><li>Key responsibilities include search approval, online search proposal development, advertising, and job posting management. </li><li>Will handle faculty contracts, visa applications, and other HR-related tasks with precision and attention to detail. </li></ul> <p>Faculty management support:</p> <ul> <li>Provide expertise in processes, hiring, reviews, contracts, renewals, annual performance evaluations, and general faculty HR-related questions. </li><li>Requires coordination and partnership with the Office of Faculty Affairs and others on ensuring accuracy, timeliness, and attention to detail. </li><li>Maintain office HR files and faculty spreadsheet detailing leaves, tenure and years of service. </li></ul> <p>Physical Requirements</p> <p>Not Applicable</p> <p>Tools/Equipment</p> <p>Not Applicable</p> <p>Application Instructions</p> <p>In addition to completing an online application, please attach a resume and cover letter.</p>
