<p>SUMMARY</p> <p>The Event Services Manager II is responsible for planning, organizing and managing the myriad of details for meetings & sales group bookings (e.g. guest rooms, menus, set-up, etc.). The Event Services Manager II takes responsibility of the group from contract turnover to the groups' completion. The Event Services Manager II is assigned medium regional sales programs of 101-399 peak room groups. The position ensures maximization of room and meeting space, revenues, and profits while delivering a quality product.</p> <p>ESSENTIAL DUTIES AND RESPONSIBILITIES</p> <p>Primary duties and responsibilities include, but are not limited to, the following:</p> <ul> <li>Responsible for the management and planning of meetings/conventions and related activities. </li><li>Attend Banquet Event Order (BEO) and staff meetings and perform as a team leader for all hotel department staff participating in the event delivery process. </li><li>Work with Meeting Sales and Event Sales Managers and assign appropriate space needed by groups for RFPs and contracts. </li><li>Manage the planning, execution and supervision of assigned Meeting and Events per the contract and the client's requirements. </li><li>Communicate all group specifications and history to the appropriate operational departments. Ensure that all specifications are implemented and executed to established guidelines. </li><li>Ensure the proper use of function space, exhibit hall and overall event space. Maximize group's revenue by referring available goods, services, attractions, and sub-contractors to convention groups. </li><li>Oversee contracted group room blocks to include cutoffs, attrition, etc. </li><li>Mediate and resolve any problems that arise with convention group's attendees and the hotel. </li><li>Plan and develop convention programs, resumes, agendas, and services utilizing the Sales and Catering system according to client requirements and established guidelines. </li><li>Create external communications to include introductory letters, appropriate property information, and tentative schedule of events for assigned convention groups. </li><li>Host planning meetings, site inspections, pre-convention meetings as outlined in convention services departmental guidelines. </li><li>Attend group pick up meetings and report guest room pick-ups to Meeting and Event Sales Manager and client for all assigned groups. </li><li>Be accessible and available to team members and clients </li><li>Demonstrate consistent excellent people skills when dealing with team members and clients </li><li>Attend all assigned events. </li><li>Ensure client satisfaction through the smooth execution of all assigned conventions as measured by pre and post event survey data. </li><li>Ensure all conventions adhere to company policies, fire department regulations, state liquor laws and other applicable government regulations. </li><li>Track and report group revenues according to established guidelines. </li><li>Coordinate all group business as developed by the Meeting and Event Sales Director. </li><li>Maintain well documented, accurate, organized and up to date file management to serve client and the employer in the most expedient, organized and knowledgeable manner. </li><li>Develop guest profiles and maintain an effective trace system including dates and references resulting in superior account service and increased revenues. </li><li>Develop strong guest relationships through appropriate client communication and the use of professional, courteous and ethical interpersonal interaction. </li><li>Follow up on all client needs and inquiries in an efficient and expedient manner. </li><li>Any other duties as assigned within the scope of this position. </li></ul> <p>KNOWLEDGE/SKILLS/ABILITIES</p> <ul> <li>Ability to work efficiently, independently and cohesively, consistently producing quality results. </li><li>Ability of complex reading, writing, math, and task completion skills is required. </li><li>Must have the following skills: clerical, compiling, coordination, analyzing, supervising, following instructions, influencing others, memorization, problem solving, independent judgment, and decision making. </li><li>Flexible to work all shifts including holidays, nights, and weekend hours as business needs dictate. Must be a minimum of 21 years of age. </li></ul> <p>EDUCATION and/or EXPERIENCE</p> <ul> <li>2 - 5 years' event sales or services management experience is required, or any combination of education, training, or experience that provides the required knowledge, skills, and abilities. </li></ul> <p>CERTIFICATES AND LICENSES</p> <ul> <li>Must be able to maintain appropriate Alcohol Awareness card. </li></ul> <p>PHYSICAL DEMANDS</p> <ul> <li>While performing the duties of this job, the team member is frequently sitting and standing and occasionally walking during the duration of their shift. </li><li>Must be able to push/pull 25lbs or less. </li><li>The team member will occasionally have repetitive use of both hands. </li><li>The physical demands described here are representative of those that must be met by a Team Member to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. </li></ul> <p>WORK ENVIRONMENT</p> <ul> <li>Work performed consistently indoors and outdoors, alone and frequently with and around others. Team Member will perform work face-to-face including verbal contact with others on extended shifts around computer equipment, mechanical devices, and moving objects. </li><li>The noise level in the work environment is usually quiet to moderate. </li><li>Team Member may be exposed to odor and/or secondhand smoke. </li><li>Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. </li></ul>
