This position supports executive operations, board governance, and cross-functional collaboration in a way that reflects our mission of Inspiring Communities to Save Wildlife for Future Generations.</p> <p>Our team is made up of passionate and diverse professionals dedicated to providing excellent care for our animals while creating meaningful experiences for our guests. If you're excited to contribute your skills in a collaborative and innovative environment, Denver Zoo Conservation Alliance is the place for you!</p> <p>Essential Duties and Responsibilities</p> <p>Executive Support</p> <ul> <li>Serve as a strategic administrative partner to the CEO, managing complex calendars, travel arrangements, meeting logistics, and high-level communications with discretion and professionalism. </li><li>Draft, edit, and format correspondence, talking points, presentations, and reports on behalf of the CEO. </li><li>Coordinate and support internal meetings, strategic initiatives, and executive communications that align with Denver Zoo's values and priorities. </li><li>Anticipate the needs of the Executive Office, proactively identifying opportunities to streamline processes and support leadership effectiveness. </li></ul> <p>Board Liaison</p> <ul> <li>Act as the primary liaison to DZCA Board of Trustees, ensuring strong communication, transparency, and engagement. </li><li>Plan and execute all logistics for board and committee meetings, including scheduling, developing agendas, preparing materials, providing hospitality, taking meeting minutes, and maintaining documentation. </li><li>Maintain accurate and organized board records, policies, bylaws, rosters, and historical governance files. </li><li>Facilitate orientation, onboarding, and stewardship for new and current board members, ensuring they are equipped and informed to serve effectively. </li><li>Partner with the CEO and Chief Financial Officer (CFO) to uphold best practices in nonprofit governance and compliance. </li></ul> <p>Cross-Organizational Support</p> <ul> <li>Collaborate with departments across the organization to support strategic projects, special events, and executive communications. </li><li>Champion a collaborative and inclusive approach to work that reflects our commitment to a One Zoo Team. </li><li>Support efforts to foster a culture of belonging, curiosity, and innovation through thoughtful communication and relationship-building. </li></ul> <p>Other Duties & Responsibilities</p> <ul> <li>Other assistance, as designated by the CEO and Executive team, to support the overall goals of the department and organization. DZCA retains the right to add or change duties and/or responsibilities at any time. </li><li>Supports tracking and reconciliation of executive and board-related expenses and assists with budget monitoring and financial documentation. Acts as a good steward of DZCA's resources. </li><li>The nature of this position requires safeguarding against the release of confidential and proprietary information of DZCA. </li><li>This position will interact with managers at all levels and staff members across the organization, in addition to members of external organizations and the public. </li></ul> <p>Technical / Professional Requirements & Qualifications</p> <ul> <li>A Bachelor's degree in business administration, nonprofit management, communications, or a related field is preferred. </li><li>At least 5 years of experience providing executive-level administrative support, working in a nonprofit, and supporting boards or leadership teams is preferred, or any equivalent combination of experience, lived experience, and/or special skills. </li></ul> <p>Knowledge, Skills, and Abilities:</p> <ul> <li>Proficiency in Microsoft Office Suite and virtual meeting platforms such as Zoom or Microsoft Teams is required. </li><li>Strategic Thinking & Judgment: Ability to anticipate needs, exercise sound judgment, and make decisions independently. Understands organizational dynamics and can manage up, across, and down with diplomacy and discretion. </li><li>Stakeholder Engagement & Relationship Management: Ability to professionally interface with senior leadership, board members, donors, and external partners. Strong interpersonal skills and the ability to build trusted relationships and maintain confidentiality. </li><li>Project Management & Initiative: Skilled in managing projects from inception to completion, including scheduling, tracking, and follow-up. Ability to take initiative, work independently, and follow through on tasks without direct supervision. </li><li>Attention to Detail & Quality Assurance: High level of accuracy in preparing and reviewing documents, reports, and communications. Skilled in formatting, proofreading, and document control to maintain a professional brand standard. </li><li>Meeting & Event Coordination: Ability to plan, schedule, and coordinate board meetings, executive team meetings, and retreats. Familiarity with preparing agendas, minutes, presentation materials, and managing logistics. </li><li>Tech Savvy & Platform Management: Ability to learn and manage board portal platforms (e.g., BoardEffect) or shared drives for document control.
