<p>We're looking for a detail-oriented and organized Accounts Payable Coordinator to support the accurate processing of invoices, manage vendor accounts, and help ensure timely payments. Reporting to the Sr. AP Supervisor, this role plays a key part in maintaining our financial operations and building strong vendor relationships. There is potential to take on supervisory responsibilities for 2-3 junior team members after the first 6-12 months - making this a great opportunity for someone eager to grow into a leadership role while contributing to a high-performing, fast-paced team!</p> <p>Please Note: This position is a hybrid role, involving on-site work each week at our corporate headquarters in Concord, CA. Candidates who are fully remote or outside of reasonable commuting distance will not be considered at this time.</p> <p>Responsibilities:</p> <ul> <li>Invoice Processing: Receive, review, and process vendor invoices accurately and efficiently. </li><li>Payment Processing: Prepare and process payments via check, electronic transfer, or other methods in accordance with company policies and procedures. </li><li>Vendor Management: Maintain vendor accounts, including obtaining W-9s, reconciling statements, resolving discrepancies, and responding to vendor inquiries in a timely manner. </li><li>Expense Reports: Review and process employee expense reports, ensuring compliance with company policies. </li><li>Corporate Credit Card: Review and prepare weekly journal entries for all employee corporate credit card expenses, obtain proper documentation and support, and respond to credit card-related inquiries from employees in a timely manner. </li><li>Month-End Closing: Assist with month-end closing activities, including account reconciliations and accruals related to accounts payable. </li><li>1099 Reporting: Prepare annual Form 1099 </li><li>Record Keeping: Maintain accurate and organized financial records, including electronic and physical filing systems. </li><li>Compliance: Ensure compliance with company policies, as well as local, state, and federal regulations related to accounts payable. </li><li>Process Improvement: Identify opportunities for process improvement and efficiency enhancements within the accounts payable function. </li><li>Reporting: Generate reports and provide analysis related to accounts payable as needed. </li><li>Cross-Functional Collaboration: Collaborate with other departments, including procurement and finance, to resolve issues and improve processes. </li></ul> <p>Qualifications:</p> <ul> <li>Minimum of 2-3 years of experience in accounts payable in a similar role. </li><li>1 year in a supervisory capacity, overseeing accounting professionals (preferred). </li><li>Bachelor's degree in Accounting, Finance, or related field preferred. </li><li>Certification in Accounts Payable is a plus. </li><li>Strong proficiency in accounting software and Microsoft Office Suite, especially Excel. </li><li>Familiarity with enterprise resource planning (ERP) systems is advantageous. </li><li>Attention to Detail: High level of accuracy and attention to detail in processing invoices and payments. </li><li>Organizational Skills: Excellent organizational and time-management skills, with the ability to prioritize tasks effectively. </li><li>Communication Skills: Strong written and verbal communication skills, with the ability to interact professionally with vendors and internal stakeholders. </li><li>Problem-Solving Skills: Ability to identify issues, analyze root causes, and propose effective solutions. </li><li>Team Player: Collaborative attitude and willingness to work closely with colleagues to achieve departmental goals. </li><li>Adaptability: Ability to adapt to changing priorities and work effectively in a dynamic environment. </li><li>Integrity: Maintain confidentiality and uphold ethical standards in handling financial information and transactions. </li></ul> <p>PFE Perks</p> <ul> <li>Grow with us: Many potential career paths and options for advancement within the company </li><li>Pet Friendly Workplace - bring your well-behaved pup! </li><li>Generous in-store employee discount that extends to your family </li><li>Be Healthy: Health with FSA options, dental, and vision insurance - even pet insurance! </li><li>Plan for the future: 401k with employer match </li><li>Get Rewarded: Employee referral bonuses </li><li>Rest and Relax: Competitive Paid Time Off </li></ul> <p>The salary range for this position is expected to be $75,000/yr-$85,000/yr.
