<p>Job Description:</p> <p>POSITION TITLE: Clerk V - Wraparound Services</p> <p>PRIMARY LOCATION: Fall River, with occasional travel to all Bristol locations.</p> <p>REPORTS TO: Associate Director, Student Advocacy</p> <p>POSITION STATUS: This is a full time, benefited, state funded, AFSCME classified position.</p> <p>CLASSIFICATION SPECIFICATION: http://www.mass.edu/shared/documents/classificationspecs/specspers/Clerk Series.doc</p> <p>WORK SCHEDULE: 37.5 hours per week; 8:30am - 5:00pm; Day-of participation in the Mobile Food Market program (2nd Thursday of the month, 7:30am-3pm).</p> <p>SALARY: $52,737.88, AFSCME Grade 15, Step 1 *Appointments from outside the bargaining unit begin at Step 1.</p> <p>STATEMENT OF DUTIES:</p> <p>The Clerk V helps support Wraparound Services at Bristol Community College by handling office tasks and organizing programs like the Mobile Food Market. They use online tools, college systems, and data entry to help plan events, order food and supplies, keep track of guest sign-ups, check people in, manage and talk with volunteers, and help with reports. The Clerk V also answers phones, replies to emails, sets up appointments, greets students and visitors, and helps with paperwork for partner organizations. They work closely with the Director of Wraparound Services and the Associate Director of Student Advocacy and help with reports for grants and programs. The Clerk V is expected to answer questions from students, staff, faculty, and the public in person, by phone, and by email. They should always show respect, keep information private, and help create a friendly and welcoming environment that reflects Bristol's values and supports fairness and inclusion for everyone.</p> <p>ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES:</p> <ul> <li>Provide office support for designated areas in Wraparound Services including but not limited to, answering phone calls; checking voicemail; responding to emails; greeting students, families, and guests; and making appointments. </li><li>Provide occasional office coverage for other areas within Student Services & Enrollment Management (SSEM) as needed. </li><li>Manage operations of the Mobile Food Market including but not limited to schedule distribution days; completing space reservations and facilities requests; collaborate with Marketing & Communications to promote and advertise the program; collect volunteer information and assign volunteer roles; train volunteers; collect, monitor, and confirm guest registrations; organize onsite program registration and check in; organize items and distribution; breakdown the event; maintain and update appropriate internal and external records; respond to inquiries; and order supplies. </li><li>Process information and reporting forms for community and partner organizations including but not limited to Greater Boston Food Bank, Massachusetts Rehabilitation Commission, Social Security Administration, and Easter Seals. </li><li>Support reporting efforts for grants as needed. </li><li>Provide clerical support to the Director, Wraparound Services and Associate Director, Student Advocacy. </li><li>Maintain working knowledge of Basic Needs, Wraparound Services, and community resources. </li><li>Provide excellent customer service while communicating both verbally and through routine correspondence to students, faculty, staff, and the general public. </li><li>Develop, revise and, with approval of supervisor, carry out work procedures, in cooperation with other units of the department to ensure the efficient and effective flow of work. </li><li>Operate standard office equipment including a personal computer, printer, copier, fax machine, etc. </li><li>Utilize software applications, including Microsoft Office 365 (Word, Excel, Publisher, Outlook, and Access) to produce and develop letters, reports, brochures, mail merges, etc. </li><li>Utilize the College's Student Information System (SIS) software, including but not limited to Slate, Banner, Argos, accessBCC, DegreeWorks, EAB Navigate, Maxient, ZogoTech, and CourseDog to fulfill office functions and reporting needs. </li><li>Maintain detailed office records in accordance with established guidelines via manual and automated processes. </li><li>Make referrals to the correct departments and/or personnel based on an understanding of college services. </li><li>Prepare forms for processing including, but not limited to facilities work orders, procurement paperwork, and room reservations. </li><li>File materials and maintain records such as student documentation, correspondence, administrative paperwork. </li><li>Receives and distributes incoming mail and packages. </li><li>Demonstrate a sense of professionalism and consistently reflect Bristol's core values while interacting with members of the Bristol community. </li><li>Focus on the Commonwealth's Equity Agenda by applying related best practices throughout all job functions. </li><li>Perform other duties as assigned, consistent with the Collective Bargaining Agreement. </li></ul> <p>Requirements:</p> <p>REQUIRED QUALIFICATIONS:</p> <p>Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.</p> <p>I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.*</p> <p>II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.*</p> <p>III. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience.*</p> <p>IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized non-degree granting business or secretarial school above the high school level may be substituted for the required experience.*</p> <ul> <li>Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed. </li></ul> <p>ADDITIONAL REQUIRED QUALIFICATIONS:</p> <p>Demonstrated ability to:</p> <ul> <li>Understand and apply the laws, rules, policies, and procedures governing department activities. </li><li>Read, write, and comprehend the English language, including ability to use proper grammar, punctuation, and spelling. </li><li>Follow written and verbal instructions. </li><li>Assemble information in accordance with established procedures. </li><li>Work accurately with names, numbers, codes, and/or symbols. </li><li>File material in accordance with standard filing procedures. </li><li>Maintain accurate records. </li><li>Communicate effectively, both verbally and in writing. </li><li>Establish and maintain harmonious working relationships with others. </li><li>Deal tactfully with others. </li><li>Ability to give written and oral instructions in a precise, understandable manner. </li></ul> <p>PREFERRED QUALIFICATIONS:</p> <ul> <li>Fluency in Spanish or Portuguese, including verbal and written communication. </li><li>Minimum of an Associate degree. </li><li>Demonstrated experience generating reports. </li><li>Strong analytical and problem-solving skills. </li></ul> <p>PHYSICAL DEMANDS AND WORK ENVIRONMENT:</p> <p>The employee must meet the physical demands and work environment of the position.
