<p>POSITION OVERVIEW</p> <p>The Sales Assistant is the first point of contact for individuals exploring life at Oakwood Village and a key contributor to the success of our sales team. In this role, the Sales Assistant responds to phone and online inquiries, connects with prospective residents and their families, and helps guide them to the right services and campus. The Sales Assistant conducts initial discovery conversations, documents insights in our CRM system, and ensures a smooth handoff to sales counselors. This position shapes the first impression of Oakwood and supports a seamless, welcoming experience. We're seeking a strong communicator who enjoys building relationships, is highly organized, and is comfortable working with databases. CRM experience is preferred. We are dedicated to providing superior service to one another and our community. </li></ul> <p>ESSENTIAL RESPONSIBILITIES (including but not limited to) for the sales assistant:</p> <ul> <li> <p>Responsible for supporting sales team performance goals by providing administrative support to sales team members to ensure sales goals are met. This includes, but is not limited to, processing applications, deposits, refund requests, closing paperwork, assembling marketing brochures, and coordinating mailings.</p> </li><li> <p>Responsible for supporting the Sales and Marketing Director in monitoring sales team member performance by generating requested reports from marketing software on a scheduled basis. Conducts data entry and database clean-up as requested by the Sales and Marketing Director.</p> </li><li> <p>Supports the direct sales function as follows:</p> </li><li> <p>Serves as the initial point of contact for independent living, assisted living and memory care inquiries to Oakwood Village. Conducts discovery on initial inquiries seeking information regarding Oakwood's services; identifying services of interest, providing an overview of Oakwood's campuses and services, obtaining key contact information, and assigning appropriate follow-up to Sales Counselors as directed by the Sales and Marketing Director. Responsible for creating an exceptional first impression and collecting all applicable new inquiry information.</p> </li><li> <p>Understands and explains the continuum of current and future programs and services offered at Oakwood Village. Should be able to educate prospective residents, their families and referral sources on the value of Oakwood's programs and services and communicate benefits. Should fully understand and be able to accurately communicate the details of all contract options and financial plans for residency.</p> </li><li> <p>Understands, explains, and executes the requirements of the Unit Selection and Deposit Agreement, Continuing Care and Services Agreement, Residency Agreement, and related Oakwood residency contracts and paperwork.</p> </li><li> <p>Greets clients pleasantly and professionally, either on the telephone or in person, presenting a positive image for the community.</p> </li><li> <p>Assists in obtaining all pertinent information for financial and medical qualifications; coordinates with Health & Wellness Director a wellness review and assembles financial data for approval.</p> </li><li> <p>Responsible for receipt and documentation of prospective residents' deposits and payments throughout the sales process.</p> </li><li> <p>Records in marketing software all data necessary to track prospects from inquiry through closing and move-in. Ensures pertinent information is documented in a timely and accurate manner for all leads, referral sources and sales activities.</p> </li><li> <p>Supports the timely and accurate completion of required documentation and ancillary procedures regarding the sales process.</p> </li><li> <p>Works collaboratively with sales team members to coordinate prospective residents' selection of apartment options and custom features.</p> </li><li> <p>Meets with the Sales and Marketing Director on a frequent basis to report upon and review sales support activities, efforts and obstacles toward team goals.</p> </li><li> <p>Supports the execution of special events at Oakwood and in the community that result in leads and sales for the organization.</p> </li><li> <p>Supports the development of external presentations to community groups and individuals as required.</p> </li><li> <p>Participates in implementing the Oakwood Village campus marketing plan.</p> </li><li> <p>Helps to maintain a professional, clean marketing environment at all times.</p> </li><li> <p>Participates in sales training and self-improvement activities.</p> </li><li> <p>Maintains professional appearance at all times.</p> </li><li> <p>Maintains confidentiality and respects the rights and dignity of residents.</p> </li><li> <p>Abides by Oakwood Village and Departmental policies, procedures and protocols.</p> </li><li> <p>Follows department safety procedures and policies at all times. Reports any unsafe conditions immediately.</p> </li><li> <p>Attends mandatory in-service and general staff meetings as assigned.</p> </li><li> <p>Responsible for compliance with the appropriate Federal/State regulations that pertain to Oakwood Village.</p> </li><li> <p>Performs other duties and responsibilities as assigned.</p> </li></ul> <p>ESSENTIAL QUALIFICATIONS of a Sales Assistant</p> <ul> <li>Effectively reads, analyzes and interprets common scientific and technical journals, financial reports, and legal documents. </li><li>Responds to common inquiries or complaints from customers, regulatory agencies, or members of the business community. </li><li>Effectively presents information to campus leadership, public groups and other groups as defined. </li><li>Calculates figures and amounts such as discounts, interest, commissions, proportions, and percentages. </li><li>Defines problems, collect data, establish facts and draw valid conclusions. </li><li>Interprets an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. </li><li>Works in a partnership environment which fosters effective teamwork in reflecting the core values of Oakwood. Work involves contacts with staff members of other departments within the organization as well as with general public, representatives of other organizations, vendors, clients, etc., where considerable discretion, resourcefulness, and persuasiveness is required to achieve desired objectives. </li><li>Exercises immediate guidance, assigns and allocates work, and provides basic training to staff. </li></ul> <p>EXPERIENCE, EDUCATION, AND/OR TRAINING</p> <ul> <li>Associates' degree preferably in Marketing or a related field. </li><li>Two years related experience and/or training or equivalent combination of education and experience. </li><li>Advanced computer experience with Microsoft Office Suite. Experience with established marketing-related software preferred. </li></ul>
