<p>Schedule: 9:00am - 5:00pm Monday - Friday, or option to work four 10-hour days from 7:00am-5:00pm (day off to be determined)</p> <p>SUMMARY</p> <p>Under immediate supervision, to perform responsible, specialized clerical and computer data entry work in the preparation and maintenance of sensitive and confidential police records; and to communicate with police units</p> <p>SUPERVISION EXERCISED</p> <p>None.</p> <p>ESSENTIAL DUTIES</p> <ul> <li>Perform a wide variety of administrative support work including typing, proofreading, filing, coding, checking, and recording information on records. </li><li>Perform data input of all pertinent information from hard copy reports to computerized information. </li><li>Answer telephones; relay messages; receive and refer complaints; answer routine questions. </li><li>Type and process criminal complaints, citations, warrants, police reports, and other related materials. </li><li>Utilize computer to input and receive law enforcement and general administrative records and information. </li><li>Receive and process GRAMA Request for department. </li><li>Operate office equipment including word processors, computers, scanners, printers, calculator, and copy machines. </li><li>Observe and monitor the public at the counter; respond to questions and routine requests for information; collect monies for public requests for reports and services. </li><li>Enter, validate and update entries made on the NCIC system. </li><li>Complete background checks electronically. </li><li>Respond to officers' request for information. </li><li>Process court ordered fingerprints. </li><li>Perform other related duties and responsibilities as assigned. </li></ul> <p>MINIMUM QUALIFICATIONS</p> <p>Education: High School diploma or GED.</p> <p>Experience: Two years of responsible clerical work. Spanish speaking desirable.</p> <p>Certifications/Licenses:</p> <ul> <li>Valid Utah Driver's License </li><li>Obtain and maintain UCJIS Certification within six months of employment in the position. </li><li>Certify with State Archives Division as Records Officer within six months of employment in the position. </li></ul> <p>KNOWLEDGE, SKILLS, AND ABILITIES</p> <p>Knowledge of:</p> <ul> <li>Modern office procedures, methods, and computer equipment. </li><li>Principles and procedures of record keeping. </li><li>Basic mathematical procedures. </li><li>English usage, spelling, vocabulary, grammar, and punctuation. </li></ul> <p>Skill with:</p> <ul> <li>Operating modern office equipment including computer equipment and software. </li><li>Typing and entering data at a speed necessary for successful job performance. </li></ul> <p>Ability to:</p> <ul> <li>Meet and deal tactfully and effectively with the public. </li><li>Interact effectively and sensitively with individuals from diverse backgrounds. </li><li>Respond to requests and inquiries from the public. </li><li>Maintain confidentiality of sensitive information and data. </li><li>Learn, interpret, and apply the policies, procedures, laws, codes, and regulations pertaining to police records programs and functions. </li><li>Learn police terminology and law enforcement codes. </li><li>Learn alphabetical, numerical, and subject matter filing systems. </li><li>Learn techniques used in public relations. </li><li>Prepare and maintain accurate and complete records. </li><li>Maintain and keep sensitive information confidential related to background information or personnel issues. </li><li>Work flexible hours, including nights and weekends, to accommodate after-hours training, citizen academy nights, and new employee testing. </li><li>Understand and follow oral and written instructions. </li><li>Communicate clearly and concisely, both orally and in writing. </li><li>Establish, maintain, and foster positive and harmonious working relationships with those contacted in the course of work. </li></ul> <p>WORKING CONDITIONS AND PHYSICAL DEMANDS</p> <p>Work in a standard office environment which includes reaching, bending, sitting, standing, talking, hearing, and listening.</p>
