<p>Job Summary</p> <p>Provide timely and accurate administrative and field support, including daily office functions and administrative details.</p> <p>Responsibilities</p> <ul> <li>Coordinates the day-to-day office operations of the VHN SDOH and community engagement Projects under the guidance of Project Manager(s) and Department Director </li><li>Processes invoices for outside contractors, vendors, suppliers, as utilized in projects </li><li>Handles telephone calls from vendors/companies regarding invoices and payments, obtaining and providing information as necessary. </li><li>Handles telephone calls regarding referrals to VHN programs, participant questions and escalates any issues appropriately </li><li>Prepares a monthly report showing the grant funding balance sheets, card usage reports, etc. </li><li>Assist in development and sending of mailing materials to project participants </li><li>Verifies information on reconciliation on any invoice discrepancies </li><li>Assist with project spending and processing of purchase orders for SDOH projects under supervision of Director </li><li>Maintains file for each project, including invoices, mileage, records, logs and related materials. </li><li>Assist in monitoring all project activity, schedules, costs, etc. </li><li>Works with Project Manager and Director on pricing as related to project budget in alignment with funder scope. </li><li>Works with department director and project manager(s) and marketing team on development of appropriate content collateral for project publicity and recruitment </li><li>Works with project manager in the procurement of delivery dates for materials, equipment, and produce. </li><li>Assists with all aspects of a project including but not limited to design through implementation. </li><li>Assist in project close out procedures to report necessary KPIs to appropriate stakeholders and grant department at regular intervals and at conclusion of any project </li><li>Other duties as assigned </li></ul> <p>Knowledge, Skills & Abilities</p> <p>Patient Group Knowledge (Only applies to positions with direct patient contact)</p> <p>The employee must possess/obtain (by the end of the orientation period) and demonstrate the knowledge and skills necessary to provide developmentally appropriate assessment, treatment or care as defined by the department's identified patient ages.
