<p>General Function</p> <p>Serves as primary liaison with Continuing Ed (CE) program area staff (Program Assistants, Developers, Chairs, Coordinators, Faculty, Associate Deans, and Deans), to ensure audit compliance of records. Assists Executive Director in overseeing operations in the Records Management area. Evaluates processes and procedures, recommends improvements to the Executive Director.</p> <p>Applicants are encouraged to apply promptly, as this posting may be taken down before the listed closing date once adequate candidate interest has been reached</p> <p>Duties and Responsibilities</p> <ol> <li> <p>Acts as liaison with other departments on campus (CE program areas, Human Resources, Payroll, etc.); serves as primary contact to program area staff and faculty for CE courses, sections, instructor contracts, attendance and grades.</p> </li><li> <p>Reviews, recommends, and revises processes and procedures under the direction of the Executive Director.</p> </li><li> <p>Resolves registration and payment problems.</p> </li><li> <p>Enters information into the department database.</p> </li><li> <p>Attends state auditor training sessions to understand audit requirements and ensure compliance.</p> </li><li> <p>Audits documents in audit folders for accuracy and verifies any changes.</p> </li><li> <p>Processes CE attendance rosters (OE and Self Supporting), reviews work of other employees who process CE Self Supporting attendance rosters and submits OE course paperwork to the FTE Enrollment Specialist.</p> </li></ol> <p>Minimum Requirements and Preferred Qualifications</p> <p>Requires technical training equivalent to two years of college, Associate's degree preferred; 3 to 5 years of work experience in the field to include record keeping, auditing, customer service or database management.</p> <p>Additional Information</p> <p>Knowledge, Skills, Abilities and Worker Characteristics:</p> <ul> <li>Knowledge of computers and desktop office applications and mainframe </li><li>Knowledge of system office, state numbering, course types, instructional methods, etc. </li><li>Access or other database skills </li><li>Good organizational, communication and customer service skills </li><li>Ability to work independently, to solve problems and work with details </li><li>Knowledge of college and departmental procedures </li><li>Have team-player outlook </li><li>Demonstrated record of leadership </li><li>Presentation skills </li></ul> <p>Working Conditions:</p> <p>Typical office environment</p>
