<p>Compensation: $24.00 to $27.00/hr Depending on Experience</p> <p>DEPARTMENT: HUMAN RESOURCES</p> <p>REPORTS TO: SENIOR HUMAN RESOURCES GENERALIST</p> <p>OVERVIEW:</p> <p>The Human Resources Administrative Assistant provides support to the human resources department. This role provides administrative support to multiple teams for varying requests which includes maintaining personnel-related documentation; providing orientation and onboarding assistance; administering miscellaneous projects; and other administrative tasks as assigned.</p> <p>General Responsibilities</p> <ul> <li>Maintain open communication lines with all working relationships </li><li>Follow up to ensure items for which the job is accountable are performed </li><li>Earn and maintain customer's trust </li><li>Uphold the core values of the organization </li><li>Work well with others to accomplish the mission of the organization and of the job </li></ul> <p>Specific Responsibilities</p> <p>Orientation and Onboarding</p> <ul> <li>Serve as the Encore Ambassador to create a positive first impression of Encore Electric and greets New Hires in the reception area, when applicable </li><li>Obtaining and scanning I-9 documents </li><li>Retrieve and review background screening reports </li><li>Retrieve and review drug screen and physical reports </li><li>Administer oral drug test, when applicable </li><li>Take new hire pictures each week and upload into profile </li><li>Prepare and send weekly New Hire email to include employee picture, name, title, location, and fun fact </li><li>From soft and hard copy information, assembles employee files and checks for accuracy taking accountability to ensure that all new hire paperwork is 100% complete and accurate before delivery to payroll for entry into systems i.e. folder and manpower checklist creation </li></ul> <p>Performance Management</p> <ul> <li>Assist with performance management processes, including, but not limited to: </li></ul> <p>o Following up with employees on action items</p> <p>o Responding to questions</p> <p>Benefits</p> <ul> <li>Audit invoices/deductions </li><li>New Hire benefits packet ongoing creation to support orientation </li><li>Update insurance contact lists </li><li>Benefits report building as requested </li></ul> <p>Talent Acquisition</p> <ul> <li>Update expiration dates in job postings </li><li>Opening and closing requisitions and postings </li><li>Manage Talent Network applications as part of referral program </li><li>External Recruitment Platform management i.e. LinkedIn, Indeed </li><li>Schedule interviews for recruiting team </li></ul> <p>Training and Licensing</p> <ul> <li>Assist in training room set up </li><li>Administration and project maintenance </li></ul> <p>General</p> <ul> <li>Manage sensitive information as a confidential resource </li><li>Assist with compliance labor posters as needed </li><li>Learn to process voluntary separations and file related documentation </li><li>Review process documents and update as needed </li><li>Assist with badging requirements upon request </li><li>Help to manage HR email inbox and respond to requests </li><li>Review and reference Navigating Encore Electric, Encore's employee handbook </li><li>Support People Operations Leaders (Benefits, HR, Talent Acquisition,Training) with schedule requests and other administrative tasks such as expense reporting </li><li>Provide front desk break and lunch coverage as directed </li><li>Assist and help execute annual and bi-annual HR audit processes, including I9 and general Encore process review </li><li>Assist with vehicle policies, and overall vehicle program, as directed </li><li>Assist in seasonal team initiatives and projects i.e. open enrollment activities, system cleaning • Relationship management - pick up the phone and meet in person to build relationships across the organization </li><li>Work closely with support services co-workers in the spirit of teamwork and accomplishing the goals of the department </li><li>Use judgement when executing all tasks - Exhibiting high professionalism and confidentiality is important.
