Knowledge/Skills/Abilities: Must have basic proficiency with computers and standard office software (email, spreadsheets, and document management systems), with the ability to accurately enter and maintain records. Must demonstrate strong attention to detail and the ability to maintain accurate information for invoices, purchases, RSVPs, and general office documentation. Must have excellent verbal and written communication skills and the ability to interact professionally with students, faculty, staff, and external guests. Must be able to multitask and manage competing priorities in a fast-paced executive office environment while maintaining professionalism and discretion. Strong customer service, hospitality, or front desk skills. Minimum requirements: Typically holds a high school diploma or GED. Requires 1 or more years of job related experience. This includes greeting and directing guests, managing incoming calls, coordinating front office traffic, and maintaining a professional and welcoming environment in a high-level executive office.</p> <p>Essential Function Yes Percentage of Time 20 Job Duty</p> <p>The Office Coordinator will assist with contract (CARF and Form 12) oversight between departments, including tracking, routing, and maintaining records of agreements as directed. This includes ensuring documentation is properly organized and accessible for administrative use. Students lead this effort and the Office Coordinator will need to maintain accurate knowledge of procedures to support them and faculty and staff as needed.</p> <p>Essential Function Yes Percentage of Time 10 Job Duty</p> <p>The Office Coordinator will assist with editing and finalizing Cabinet meeting minutes and other meeting minutes for internal recordkeeping purposes under the direction of the Executive Assistant. This includes ensuring accuracy, grammar review, and proper electronic filing and storage.</p> <p>Essential Function Yes Percentage of Time 10 Job Duty</p> <p>The Office Coordinator will provide logistical support for Chancellor-hosted events, including Cyber Week, Chancellor-hosted dinners, and December and May Commencement. Responsibilities include supporting students in compiling and maintaining RSVP lists, creating event floorplans, creating floral centerpieces, assisting with event tracking, and preparing and packaging materials and folders for events.</p> <p>Essential Function Yes Percentage of Time 25 Job Duty</p> <p>The Office Coordinator will assist with maintaining internal office systems, including CAT (Crisis Action Team) file updates, contact information management, donor communication support, birthday and anniversary greetings when student employees are out of office, and general administrative correspondence.</p> <p>Essential Function Yes Percentage of Time 10 Job Duty</p> <p>The Office Coordinator supports student employees by assisting with distribution of incoming and outgoing mail.
