<p>Title: Academic Specialist: Health & Public Service Programs</p> <p>Department: Health and Public Service</p> <p>Supervisor: Administrator, Nursing Programs - Also known as Director of Nursing Program</p> <p>Pay Grade: 7</p> <p>Revision Date: May 27, 2025</p> <p>Prior Version: 4/26/2022</p> <p>Location: Health & Science Center</p> <p>Approved by: President</p> <p>Position Summary:</p> <p>The Academic Specialist reports directly to the Director of Nursing regarding the assessment, planning, implementation, and evaluation of the Health and Public Service Programs. A considerable amount of initiative, decision-making ability, and judgment is required for the position within the assigned scope of responsibility. Development of general knowledge of Ohio Board of Nursing's law and rule, and other accreditors as requirements is necessary .</p> <p>The person in this position is the primary support person for the faculty and staff in the assigned academic areas and sometimes in other academic areas as delegated.</p> <p>Specific Responsibilities:</p> <ol> <li> <p>Assists the Director of Nursing, Deans, and faculty with the day-to-day operational aspects of program assessment, planning, implementation and evaluation. Tasks can include but are not limited to copying, maintaining department files, proctoring tests, responding to telephone and email messages, and correspondence inside and outside of the college, assisting with program effectiveness activities, and convening of meetings .</p> </li><li> <p>Provides support services for faculty in the Health and Public Service Programs.</p> </li><li> <p>Provides clerical support in the academic areas regarding:</p> </li></ol> <ul> <li>Ohio Board of Nursing pre visit survey reports, annual reports, degree/ certificate completion letters, and general correspondence </li><li>Acceptance and orientation letters to incoming nursing and Health and Public Service students </li><li>Correspondence with the program's advisory committee members </li></ul> <ol start="4"> <li>Assists with the intake process for incoming nursing students : </li></ol> <ul> <li>Creates and maintains electronic tracking of ADN & PNP applicants </li><li>Develops physical files for all incoming nursing students </li><li>Works with the Director of Nursing to schedule orientations </li></ul> <ol start="5"> <li> <p>Assist with monitoring the student's compliance with meet clinical site requirements for health and immunization needs and initial mandatory education.</p> </li><li> <p>Assist with onsite visits by the Board of Nursing and other accreditors.</p> </li><li> <p>Maintains files of nursing students as required by the Ohio Board of Nursing.</p> </li><li> <p>Keeps current student class lists up to date.</p> </li><li> <p>Prepares clinical contracts in the assigned program areas.</p> </li><li> <p>Maintains files for the Director of Nursing, Medical Assisting Coordinator, and STNA Coordinator .</p> </li><li> <p>Monitors and implements the records retention plan.</p> </li><li> <p>Assists with convening and facilitating advisory committee meetings.</p> </li><li> <p>Records review for the programs and student needs.</p> </li><li> <p>Assists the Director of Nursing with special projects, faculty office hour's schedules and other reports as requested by Belmont or other colleges or regulatory bodies.</p> </li><li> <p>Assists with revision program's cost sheets for the programs as needed.</p> </li><li> <p>Compiles flu vaccine logs for clinical sites as required .</p> </li><li> <p>Collect and process student evaluations of faculty, clinical sites, and preceptors.</p> </li><li> <p>Assist with the systematic plan for the ADN and PNP programs.</p> </li><li> <p>Assists in tracking of preceptor forms and licenses verification.</p> </li><li> <p>Assists with faculty meetings .</p> </li><li> <p>Assists with submission of required information to West Virginia Board of Nursing to secure clinical sites.</p> </li><li> <p>Maintains student records of all clinical sites' assignments throughout program completion.</p> </li><li> <p>Assists with the readmission and advance standing process for the nursing programs.</p> </li><li> <p>Performs other duties as assigned.</p> </li></ol> <p>Physical Requirements:</p> <p>Note: Please rank the below tasks as F for Frequent (6+ hours daily), M for Moderate (4-6 hours daily), O for Occasional (2-4 hours daily) or R for Rarely (>2 hours daily).</p> <p>F Stand or sit R Stoop/Kneel/Crawl R Carry/Weight Lift</p> <p>F Walk F Talk/Hear R Exposure to Outside Environment</p> <p>F Use of Fingers/Hands F See R Able to lift 25 pounds</p> <p>R Climb R Taste/Smell R Exposure to Hazardous Materials</p> <p>Position Requirements:</p> <ol> <li> <p>Proficient with data entry technology and computer skills such as: Microsoft office</p> </li><li> <p>Development of a working knowledge of Jenzabar</p> </li><li> <p>Knowledge of customer service and above-average problem-solving ability</p> </li><li> <p>Excellent interpersonal communication, confidentiality, and organizational skills are required.</p> </li><li> <p>Knowledge of a learning-centered environment and the student-centered college learning philosophy are required.</p> </li><li> <p>Degree in an area related to duties of the position .</p> </li><li> <p>The equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the assigned duties.</p> </li></ol> <p>This job description is subject to change at any time and nothing in this job description restricts the college's right to assign or reassign duties and responsibilities.
