<p>AniMed Animal Hospital is hiring a full-time Office Manager to lead the front office team and ensure a smooth, welcoming experience for our clients. This role plays a key part in setting the tone for each visit and maintaining the daily flow of the hospital. Our hospital is open Monday through Friday from 8:00 AM to 6:00 PM and Saturdays from 8:00 AM to 12:00 PM.</p> <p>Overview: The Office Manager is responsible for managing the administrative and operational functions of the veterinary office or hospital. This role includes overseeing staff, handling client relations, and ensuring the clinic runs efficiently and effectively. This role requires strong leadership, organizational, and administrative skills to maintain a smooth and efficient practice.</p> <p>Essential Responsibilities:</p> <ul> <li> <p>Staff Leadership & Team Management</p> </li><li> <p>Supervise, and support non-DVM staff, including receptionists, and other support personnel.</p> </li><li> <p>Conduct performance evaluations, provide feedback, and address any staffing issues or conflicts.</p> </li><li> <p>Contribute to staff meetings and to decision-making processes related to clinic operations.</p> </li><li> <p>Collaborate with veterinarians and other staff members to support clinic goals and improve service delivery.</p> </li><li> <p>Client Service & Marketing</p> </li><li> <p>Perform CSR / front desk duties in a dual role as Office Manager and CSR as needed.</p> </li><li> <p>Oversee client interactions to ensure high levels of customer service and satisfaction.</p> </li><li> <p>Handle client inquiries, complaints, and concerns with professionalism and empathy.</p> </li><li> <p>Own and execute marketing strategies to promote client retention and attract new clients.</p> </li><li> <p>Complete client reminder calls for the hospital to include coming due, overdue, and lapsed clients.</p> </li><li> <p>Coordinate community outreach and educational events to enhance the clinic's presence and reputation.</p> </li><li> <p>Administrative & Operational Oversight</p> </li><li> <p>Manage office operations, including appointment scheduling, client records, and administrative paperwork.</p> </li><li> <p>Maintain accurate and up-to-date patient records, ensuring confidentiality and compliance with data protection regulations.</p> </li><li> <p>Develop, implement and enforce office policies and procedures to ensure smooth operations and compliance with regulatory requirements.</p> </li><li> <p>Inventory & Facility Management</p> </li><li> <p>Ensure the cleanliness and organization of the clinic, including maintaining and overseeing equipment and facilities.</p> </li><li> <p>Ensures compliance with applicable company</p> </li></ul> <p>Qualifications:</p> <ul> <li>Reliable, punctual, and committed to maintaining high standards of facility upkeep. </li><li>Positive attitude and strong problem-solving skills. </li><li>High school diploma or equivalent; additional education in business management, veterinary technology, or a related field is a plus. </li><li>Previous experience in office management or a supervisory role within a veterinary or medical setting is required. </li><li>Knowledge of veterinary office procedures, including medical record-keeping and client interactions is preferred. </li><li>Proficiency in office software, phone systems, PIMS, including scheduling, billing, and record-keeping is preferred. </li><li>Strong leadership and team management skills, with the ability to motivate and guide staff effectively. </li><li>Effective communication and interpersonal skills for interacting with clients, staff, and vendors. </li></ul> <p>Physical Requirements:</p> <p>The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.</p> <ul> <li>Must be able to lift up to 25 lbs. individually and over 50 lbs. with a team lift.
