<p>Position: Project Coordinator</p> <p>Location: Chicago, Illinois</p> <p>Duration: Contract</p> <p>Job ID: 175473</p> <p>Job Overview:</p> <p>The Program Manager I is responsible for ensuring that United We Care remains in good legal, regulatory, and financial standing while supporting effective governance and day-to-day operations. This role involves managing nonprofit compliance filings, vendor oversight, and operational coordination. The individual will serve as a key liaison between the Board of Directors, third-party service providers, and United Airlines. This is a hands-on, independent role ideal for an experienced nonprofit professional with strong judgment, attention to detail, and the ability to operate as the operational backbone of a small but highly regulated organization. The workload may vary throughout the year based on regulatory filing deadlines, board meetings, and fundraising events. This position is hybrid and based at Willis Tower.</p> <p>Responsibilities:</p> <ul> <li> <p>Nonprofit Compliance and Legal Operations:</p> </li><li> <p>Ensure ongoing compliance with federal and state nonprofit laws and regulations.</p> </li><li> <p>Prepare, manage, and file required documentation with the IRS and State of Illinois, including annual filings and registrations.</p> </li><li> <p>Coordinate preparation and submission of IRS Form 990 and related schedules.</p> </li><li> <p>Maintain records, governing documents, policies, and compliance calendars, including bylaws, board resolutions, and governance documentation.</p> </li><li> <p>Maintain charitable registration and required filings with applicable state authorities.</p> </li><li> <p>Monitor regulatory changes that may impact nonprofit operations and advise the Board as needed.</p> </li><li> <p>Coordinate with legal counsel, accountants, auditors, and other similar parties.</p> </li><li> <p>Support annual audits and ensure timely resolution of findings.</p> </li><li> <p>Financial Administration and Controls:</p> </li><li> <p>Maintain accurate financial records and oversee bookkeeping activities using tools such as QuickBooks.</p> </li><li> <p>Manage bank accounts, payments, and financial processes within Board-approved controls.</p> </li><li> <p>Ensure appropriate financial controls and documentation are maintained for all financial transactions.</p> </li><li> <p>Prepare financial summaries and reports for the Board of Directors.</p> </li><li> <p>Support budgeting, forecasting, and cash flow tracking.</p> </li><li> <p>Governance and Board Support:</p> </li><li> <p>Schedule and coordinate Board and committee meetings.</p> </li><li> <p>Prepare agendas, materials, minutes, and follow-up action items.</p> </li><li> <p>Support governance best practices and Board compliance obligations.</p> </li><li> <p>Ensure proper documentation of Board decisions and approvals.</p> </li><li> <p>Vendor and Program Oversight:</p> </li><li> <p>Manage relationships with third-party vendors supporting grant administration and disbursements.</p> </li><li> <p>Monitor vendor performance, contracts, and compliance with agreed-upon processes.</p> </li><li> <p>Fundraising Operations:</p> </li><li> <p>Support operational execution of the organization's fundraising activities and events.</p> </li><li> <p>Coordinate with vendors and Board members to ensure smooth execution of fundraising initiatives.</p> </li><li> <p>Ensure accurate financial reporting of fundraising activities.</p> </li><li> <p>Travel Requirements:</p> </li><li> <p>Up to 10-20% travel.</p> </li><li> <p>Travel to Chicago or other locations to support Board of Director meetings and/or other United We Care functions.</p> </li><li> <p>Travel for planning meetings, strategic sessions, or key organizational events as needed.</p> </li></ul> <p>Qualifications:</p> <ul> <li>Experience in nonprofit compliance, legal operations, and financial administration. </li><li>Proficiency in bookkeeping tools such as QuickBooks. </li><li>Strong organizational skills and attention to detail. </li><li>Ability to manage multiple priorities and meet deadlines. </li><li>Excellent communication and interpersonal skills. </li><li>Comfortable working independently in a highly regulated environment. </li><li>Willingness to travel as required. </li></ul> <p>About PTR Global: PTR Global is a leading provider of information technology and workforce solutions.
