Discover your opportunities at Yale!</p> <p>Salary Range</p> <p>0.00 - 0.00</p> <p>Overview The Executive Assistant manages a high level of administrative and operational support of the CEO of Yale Medicine Administration. Performs a variety of administrative, operational, analytical, and reporting functions. Performs specialized or confidential administrative duties, including researching data and preparing reports. They will have full ownership of the CEO's dynamic schedule and will demonstrate the ability to anticipate needs. The Executive Assistant will ensure the smooth and efficient operation of the executive suite and will oversee the work of three staff. They will draft routine communications on behalf of the CEO and respond to routine correspondence in a professional manner. A writing sample will be requested. Required Skills and Abilities 1. Excellent organizational, interpersonal, and verbal and written communication skills. Demonstrated ability to interact professionally with all levels of faculty, administrators and staff. Ability to draft routine communications on behalf of the Dean and to respond to routine correspondence in a professional manner. A writing sample will be requested. 2. Excellent computer skills, demonstrated exceptional facility with word processing, spreadsheets, calendaring and email software. Ability to learn new applications and platforms. Demonstrated exceptional ability with Microsoft Word, Excel, Outlook Suite, and Box. 3. Ability to plan, organize, and manage a large volume of work and many different administrative tasks in a complex, fast-paced environment. Ability to engage in several tasks at the same time and ability to tolerate frequent interruptions in any one task and still execute it in a reasonable time frame. 4. Sensitivity to and ability to effectively maintain confidentiality of information and materials. Ability to work independently and under pressure. Mature judgment when handling sensitive issues. Ability to prioritize, anticipate problems and proactively solve problems. 5. Ability to relate comfortably and knowledgeably to a wide range of individuals. Strong service orientation. Strong attention to detail and accuracy. Preferred Education, Experience and Skills Yale University experience or other large and complex academic institution. Knowledge of Yale University faculty policies and procedures. Knowledge of Yale systems. Supervisory experience. Familiarity with Workday financial and administrative systems, Yale Message.</p> <p>Principal Responsibilities</p> <ol> <li>Prepares and manages a high volume of correspondence, reports and documents. 2. Supervises a secretary/receptionist and assigns work on behalf of Executive Leadership and other professional staff in the office of Executive Leadership. Serves as office manager, oversees and coordinates all clerical and facilities needs. 3. Screens, directs and responds to all inquiries or correspondence by obtaining and furnishing information. 4. Provides appropriate information when necessary during periods of Executive Leadership's unavailability. 5. Oversees the organization and coordination of meetings, conferences, events, travel, etc. 6. Manages and monitors technology needs, conducts inventory and assesses system requirements 7. Assists in reviewing and implements University and departmental policies as they pertain to the administrative functions. 8. Serves as primary contact between the Executive Leadership's office and other offices and staff and faculty. 9. Implements and maintains complex office systems. 10. Manages complex schedule and calendar for Executive Leadership and the office. 11. Arranges and prepares agenda/materials for meetings, conferences, events, etc. 12. Prepares and collects documents and materials for meetings. 13. Interacts with staff at all organizational levels to gather information and/or provide requested information. 14. Oversees on boarding activities for new staff members. Supports recruiting and other related efforts. 15. May perform other duties as assigned. Required Education and Experience Bachelor's degree in business administration or related field and five years of related experience to include three years of supervisory experience or the equivalent combination of education and experience. </li></ol> <p>Background Check Requirements</p> <p>All candidates for employment will be subject to pre-employment background screening for this position, which may include motor vehicle, DOT certification, drug testing and credit checks based on the position description and job requirements.
