<p>City Clerk Department (Vital Statistics)Duties and Responsibilities</p> <ul> <li>Typing, filing, computer entry, customer telephone and in-person inquiries, copying, faxing, Notary Public (if applicable) </li><li>Excel and Microsoft Word Programs </li><li>Record keeping of dog licenses in Munis </li><li>Yearly update criteria and reporting in Munis for correct information as it pertains to Veterinarians, </li><li>Kennels, City of Quincy Dog Officer, and pet owners </li><li>Maintain vital records in VIP and MAVRIC as it pertains to births, deaths, and marriages; partner with medical examiners, funeral homes, and Commonwealth Vital Records Department to process corrections on records as needed Assist the public with the following procedures: dog licensing, marriage applications, schedule and prepare marriages for the Clerk and Assistant Clerk, genealogy research, birth, death and marriage records, seaworm and clam digging permits, and Business Certificates </li><li>Maintain City Clerk's calendar, as requested </li><li>Record and retain records of all contracts for the City of Quincy received from Purchasing Dept. </li><li>Keep accurate and timely weekly cash sheet and report to the City Treasurer </li><li>Maintain vital records and statistics of birth, death and marriage records that occur in Quincy from the 1700's to the present </li><li>Obtain and prepare (certify) vital records requested at the customer counter, on-line, and via USPS mail </li><li>Time stamp and facilitate posting of agendas and notices (OML) </li><li>Keeper of zoning and planning decisions, related appeals, and timing for certification </li><li>Facilitate canning permits </li><li>Backup support to Election Department, as needed </li></ul> <p>Qualifications and Entrance Requirements</p> <ul> <li>High school graduate </li><li>Effective communication skills and demonstrated ability to work with a diverse public population </li><li>Knowledge of standard office equipment and computers, with ability to interact with the public on the department web site </li><li>Team player with ability to work independently in a dynamic setting with several co-workers </li><li>Massachusetts Driver's License required </li></ul> <p>Remarks</p> <ul> <li>Quincy Public Employees Association position. </li><li>Salary determined through QPEA Collective Bargaining Agreement. </li><li>Position is 35 hours per week (8:30 a.m. to 4:30 p.m.) with potential for overtime. </li><li>The City of Quincy is an EO/AA Employer. </li></ul> <p>Applying for the PositionTo apply for the position, please visit the Submitting an Application for Employment Page.
