<p>TITLE: Assistant Director of Human Resources</p> <p>REPORTS TO: Executive Director of Human Resources</p> <p>SALARY: Grade 12 ($52,170-$72,170)</p> <p>ROLE: The Assistant Director of Human Resources works in partnership with the Executive Director of Human Resources to oversee all facets of HR operations and manage the complete employee life cycle, from onboarding through retirement. This role ensures adherence to federal and state regulations, provides guidance to administration on workforce strategy and employment policies, and aligns HR practices with the institution's mission, objectives, and budget. The Assistant Director of Human Resources handles the department's day-to-day activities, directly manages the HRIS system, and collaborates closely with the Santa Fe Human Resources team. This roles services as the acting director when the executive director is unavailable.</p> <p>ESSENTIAL FUNCTIONS & RESPONSIBILITIES:</p> <ul> <li> <p>Demonstrate in-depth human resources experience in all generalist roles, with additional expertise in talent management. Works collaboratively with the Santa Fe Human Resources team, Annapolis Finance team, and College-wide IT team.</p> </li><li> <p>Direct oversight of the student employment process and works collaboratively with the Career Development office and hiring managers.</p> </li><li> <p>Administer and deliver all benefit plans for employees and retirees, including enrollment, life events, maintaining accurate data across multiple systems, and ensuring ACA and other compliance reporting.</p> </li><li> <p>Develop and lead recruitment and employee retention efforts, including position authorization, job postings, applicant tracking, preparing job descriptions, and supporting the interviewing and selection process.</p> </li><li> <p>Manages hiring and onboarding processes for employees, including offer letters, new hire paperwork and documentation, HRIS and related system setup, and orientation.</p> </li><li> <p>Oversee off-boarding processes, including termination processing, final pay, exit interviews, and handling unemployment claims.</p> </li><li> <p>Oversees the full lifecycle of student employment administration, managing onboarding and offboarding processes, processing employment documentation, ensuring regulatory compliance, and coordinating system access, records maintenance, and employment status changes.</p> </li><li> <p>Prepares, analyzes, and/or oversees the submission of various special, quarterly, monthly, and ad hoc reports.</p> </li><li> <p>Ensure compliance with federal, state, and local regulations through regular internal audits and effective data management.</p> </li><li> <p>Maintain employee and human resources files securely and accurately.</p> </li><li> <p>Administer Workers' Compensation, FMLA, Short-Term and Long-Term Disability programs: receive injury reports, collaborate with employees and supervisors, report claims to insurance carriers, monitor claims, and ensure compliance reporting related to WC, FMLA, STD, and LTD.</p> </li><li> <p>Assist in advising and counseling managers on supervisory issues, including performance coaching, goal alignment, and disciplinary concerns, and review and revise associated documentation as needed.</p> </li><li> <p>Provide clerical and organizational support for the office, including invoice processing, immigration documentation, and policy and procedure updates.</p> </li><li> <p>Participate in and support special projects assigned.</p> </li><li> <p>Plan and execute initiatives and events that support employee engagement, professional development, and recognition of employee achievements.</p> </li><li> <p>Serve as a decision-maker in the absence of the Executive Director of Human Resources.</p> </li><li> <p>Perform other duties as assigned.</p> </li></ul> <p>QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Applicant should be physically capable of walking or standing a post outdoors for extended periods of time, as well as ascending and descending stairs. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.</p> <ul> <li> <p>Bachelor's degree is required, preferably with coursework or professional experience in human resources.</p> </li><li> <p>At least 3-5 years' progressively responsible experience in Human Resources management.</p> </li><li> <p>SHRM Certified Professional (SHRM-CP) or SHRM Senior Certified Professional (SHRM-SCP) current certification preferred or master's degree in human resources preferred.</p> </li><li> <p>Applied knowledge of Human resources practices and principles, including strong practical knowledge of all applicable State and Federal laws and regulations.</p> </li><li> <p>Proven ability to stay informed about current regulations impacting HR.</p> </li><li> <p>Applied knowledge and skill in functions/processes of human resources information systems (HRIS) required. ADP Workforce Now; a plus.</p> </li><li> <p>Highly detail-oriented with the ability to work independently and exercise sound judgment when making decisions.</p> </li><li> <p>Capable of managing multiple projects efficiently, prioritizing tasks, and adapting to shifting deadlines.</p> </li><li> <p>Skilled at handling complex assignments and communicating effectively with faculty, staff, and administrators. Experience working with students is preferred.</p> </li><li> <p>Strong verbal and written communication skills, proficient computer literacy, financial acumen, and ability to keep accurate, detailed records.</p> </li><li> <p>Advanced proficiency in Microsoft Office, including data analysis, reporting, pivot tables, and spreadsheet management</p> </li><li> <p>Ability to establish credibility and be decisive, but able to recognize and support the College's preferences and priorities.</p> </li><li> <p>Superior client services skills, with the ability to work collaboratively with others throughout the organization to resolve and/or prevent issues.</p> </li><li> <p>Demonstrated responsiveness and professionalism in listening to and addressing employee concerns.</p> </li><li> <p>Maintains confidentiality of information with the ability to maintain a high degree of professionalism.</p> </li><li> <p>Must be able to work on-campus Monday through Friday with occassional off hours scheule.</p> </li></ul> <p>AN EQUAL OPPORTUNITY EMPLOYEE</p>
