Our employees are charged to recognize the challenges we face and to respond to them with empathy, understanding, and a willingness to help.</p> <p>The Administrative Assistant will provide high-level administrative support to both the Dean of Business and Applied Technologies and the Executive Director of Secondary Partnerships. The Administrative Assistant will serve as a key point of contact for internal and external stakeholders and will be responsible for managing day-to-day operations, coordinating communications, and supporting departmental initiatives.</p> <ul> <li>This position may have occasional travel between campuses and for training. Occasional after hours may be required. </li><li>Office setting positioned outside of the Executive Director's office. </li><li>Some evening and weekend work may be required for departmental events and meetings. </li></ul> <p>Essential Duties</p> <p>Key Responsibilities:</p> <p>Support for the Dean of Business and Applied Technologies:</p> <ul> <li> <p>Provide administrative and clerical support to the Dean and department staff.</p> </li><li> <p>Manage class scheduling, faculty contracts, and book orders.</p> </li><li> <p>Track departmental budgets, manage spending, and reconcile expenses.</p> </li><li> <p>Assist with data collection and reporting related to program performance.</p> </li><li> <p>Support course creation, instructor assignments and editing in Datatel Colleague.</p> </li><li> <p>Generate Colleague access forms for new instructors and update existing employee access annually.</p> </li><li> <p>Collect and process full-time, part-time, overload, and independent study contracts and timesheets for payroll.</p> </li><li> <p>Order office and lab supplies; track inventory and submit requisitions in Etrieve and E-Procurement.</p> </li><li> <p>Resolve office equipment issues and communicate with IT and the Business Center for support.</p> </li><li> <p>Submit and track work orders for facility maintenance needs.</p> </li><li> <p>Answer and direct phone calls and emails; provide general information and assistance to students, staff, and faculty.</p> </li><li> <p>Schedule and organize department meetings; take and distribute minutes.</p> </li><li> <p>Assist departments in organizing activities, e.g., advisory board meetings, registration, faculty orientations, social activities, and other collegewide events</p> </li></ul> <p>Support for the Executive Director of Secondary Partnerships:</p> <ul> <li> <p>Provide administrative support to CCP advisors, early college liaisons, and Secondary Partnerships staff.</p> </li><li> <p>Assist with Career and College Promise (CCP) paperwork to ensure compliance with admissions and program standards.</p> </li><li> <p>Prepare communications and organize onboarding and interviews for new employees.</p> </li><li> <p>Update and publish the Career and College Promise Course Guide.</p> </li><li> <p>Manage communication with faculty and students regarding CCP policies and procedures.</p> </li><li> <p>Welcome and assist visitors in the Student Learning office suite; direct them to appropriate resources.</p> </li><li> <p>Assist with CCP open houses and other student recruitment and engagement events.</p> </li><li> <p>Maintain knowledge of updated CCP program policies and ensure compliance with college standards.</p> </li><li> <p>Provide general assistance and problem-solving support for CCP advisors and early college liaisons.</p> </li><li> <p>Actively participate in professional development and support college initiatives related to secondary partnerships.</p> </li><li> <p>Assist with building and maintaining CCP course schedule, including management of the course build spreadsheet and seated sections.</p> </li><li> <p>Support CCP meetings by organizing agendas and documenting meeting minutes.</p> </li><li> <p>Answer and screen phone calls; schedule appointments as necessary for the Executive Director of Secondary Partnerships.</p> </li><li> <p>Support department leads with the coordination of county-wide initiatives and events.</p> </li><li> <p>Maintain and update the program website to ensure accurate and current information.</p> </li><li> <p>Oversee the development and organization of the CCP training and policy manual, and update the manual as needed.</p> </li></ul> <p>Other Duties:</p> <ul> <li> <p>Serve on college committees as assigned.</p> </li><li> <p>Complete five-hour staff development requirement.</p> </li><li> <p>Encourage and support college activities, policies and philosophies.</p> </li><li> <p>Assist with other duties as assigned.</p> </li></ul> <p>Minimum Requirements</p> <ul> <li> <p>High school diploma or equivalent and 5+ years of administrative support experience in a office setting OR</p> </li><li> <p>Associate degree and minimum of two years of administrative support experience</p> </li></ul> <p>Preferred Requirements</p> <ul> <li> <p>Bachelor's degree</p> </li><li> <p>Bilingual</p> </li><li> <p>Experience working in an academic environment</p> </li><li> <p>Experience in Microsoft Office Suite and/or Google Workspace (Google Docs, Sheets, etc.)</p> </li><li> <p>Experience with a learning management system (Blackboard, Moodle, etc) and/or experience with an enterprise resource planning (ERP) system (Banner, Datatel, etc.).</p> </li></ul>
