<p>Position Type:</p> <p>Support Staff/Executive Secretary</p> <p>Date Posted:</p> <p>8/22/2025</p> <p>Location:</p> <p>District 211 Administration Center</p> <p>Closing Date:</p> <p>08/28/2025</p> <p>  Additional Information: Show/Hide</p> <p>Description:</p> <p>Administrative Assistant to the Director of Student Services and Assistant Directors of Special Education (Exempt Position)</p> <p>Qualifications:</p> <ul> <li> <p>Proficient with office technology, including Google Workspace (Docs, Sheets, Forms, Drive), Microsoft Office Suite, and student information systems (SIS)</p> </li><li> <p>Accurate keyboarding, data entry, and reporting skills</p> </li><li> <p>Experience with data management, analysis, and reporting tools</p> </li><li> <p>Strong organizational skills, with the ability to manage multiple projects, priorities, and deadlines</p> </li><li> <p>Demonstrated project planning and management skills</p> </li><li> <p>Effective interpersonal and communication skills, both verbal and written</p> </li><li> <p>Ability to work independently and as part of a team, exercising sound judgment, discretion, and confidentiality</p> </li><li> <p>Commitment to providing high-quality service to students, families, staff, and community members</p> </li></ul> <p>Responsibilities:</p> <ul> <li> <p>Provide administrative support to the Director of Student Services and Assistant Directors of Special Education, managing schedules, communications, and daily office operations</p> </li><li> <p>Serve as registrar for alternative schools, handling student enrollment, withdrawals, and record management in compliance with regulations for students not receiving special education services at alternative schools.</p> </li><li> <p>Coordinate home hospital instruction, credit attainment, and AP programming</p> </li><li> <p>Assist with and support state test administration</p> </li><li> <p>Collect, verify, and submit required data to regional, state, and federal agencies</p> </li><li> <p>Support health services by processing invoices, tracking budgets, and managing supply and medication inventory</p> </li><li> <p>Prepare reports, manage data entry, and assist with department projects, events, and professional development</p> </li><li> <p>Manage publications and communications to the school community, ensuring timely and accurate information sharing</p> </li><li> <p>Maintain and file student records</p> </li><li> <p>Act as a liaison between Student Services, schools, families, and community partners</p> </li><li> <p>Perform other duties as assigned by the Director of Student Services</p> </li><li> <p>Provide direct assistance to Assistant Directors of Special Education and leadership, including managing calendars, scheduling IEP and related meetings, and coordinating with internal staff, families, and external professionals.</p> </li><li> <p>Maintain, organize, and process confidential student records in compliance with IDEA, including IEP documentation, evaluations, rosters, and archiving records for graduating/exiting students.</p> </li><li> <p>Upload and manage student information in Student information System, track placement changes, process file transfers, and prepare incoming student files.</p> </li><li> <p>Track legal timelines, ensure documentation meets state/federal requirements, manage background checks for external staff, and process billing for specialized services.</p> </li><li> <p>Serve as a point of contact between special education, general education, families, and outside agencies; translate/arrange translations; distribute required notices.</p> </li><li> <p>Arrange transportation, schedule interdisciplinary meetings, support testing/psychological reviews, and oversee destruction of temporary records per regulations.</p> </li><li> <p>Other duties as assigned by Assistant Directors of Special Education</p> </li></ul> <p>Working Conditions:</p> <ul> <li> <p>Frequent interruptions and shifting priorities.</p> </li><li> <p>Requires sitting for extended periods, with occasional lifting of materials (up to 30 lbs).</p> </li><li> <p>High level of interaction with staff and stakeholders</p> </li></ul> <p>Application Procedure:</p> <p>Apply online</p> <p>Selection Procedure:</p> <p>Skills test may be administered as part of the candidate selection process.</p> <p>Salary</p> <p>Exempt 2 Salary Schedules</p> <p>Benefits</p> <p>Benefits for exempt office workers follow the same benefit package as Support Staff Contract Benefits</p> <p>Candidates may contact:</p> <p>Candidates may contact Danielle Hauser, Director of Student Services</p> <p>at dhauser@d211.org</p>
