This role focuses on converting inquiries into enrollments while assisting with operations and classroom support as needed.</p> <p>This role is best suited for someone who is highly organized, consistent with follow-up, and comfortable balancing administrative work with hands-on support.</p> <p>About the Role</p> <p>Primrose School of Liberty is seeking a dependable and highly organized Assistant Director (Admissions & Operations) to support enrollment and daily school operations. This is a hands-on leadership support role ideal for someone who thrives in a structured environment, enjoys building relationships with families, and can balance administrative responsibilities with on-the-floor support when needed.</p> <p>The primary focus of this role is driving enrollment through consistent tours, follow-up, and local outreach, while also supporting daily operations and maintaining strong organizational systems.</p> <p>Key Responsibilities</p> <p>Admissions & Enrollment (Primary Focus)</p> <ul> <li>Manage the admissions process from inquiry through enrollment </li><li>Schedule and conduct tours for prospective families </li><li>Provide consistent follow-up to all leads (same day or within 24 hours) </li><li>Track all inquiries, tours, and enrollments using Procare </li><li>Maintain an accurate and organized enrollment pipeline and waitlist </li><li>Deliver a professional and welcoming experience to all families </li></ul> <p>Operations & Staff Support</p> <ul> <li>Assist the Center Director with daily operations and ensure compliance with licensing standards </li><li>Support implementation of curriculum by ensuring classrooms follow established programs and schedules </li><li>Provide day-to-day support and coaching to teaching staff as needed </li><li>Assist with staffing coordination and daily classroom coverage as needed </li><li>Step into classrooms when necessary to maintain licensing ratios </li><li>Assist with opening and/or closing the school based on leadership scheduling </li></ul> <p>Subsidy Billing (Limited Scope)</p> <ul> <li>Process and maintain billing for a small group of subsidy families </li><li>Ensure accurate attendance tracking and timely submissions </li><li>Follow up on minor discrepancies or missing documentation as needed </li></ul> <p>Local Outreach & Enrollment Events</p> <ul> <li>Execute local outreach efforts to generate new family leads (community connections, flyers, partnerships) </li><li>Coordinate and support school events such as open houses and family engagement activities </li><li>Track lead sources and ensure timely follow-up with all event and outreach inquiries </li></ul> <p>Hiring Support (Secondary)</p> <ul> <li>Assist with scheduling interviews and coordinating candidates </li><li>Support leadership during active hiring periods </li></ul> <p>Role Priorities</p> <ul> <li>Child safety and maintaining ratios </li><li>Admissions follow-through and enrollment growth </li><li>Subsidy accuracy and timeliness </li><li>Operational and hiring support </li></ul> <p>What Success Looks Like</p> <ul> <li>Timely and consistent follow-up with all prospective families </li><li>Strong tour-to-enrollment conversion rates </li><li>Organized and accurate admissions and subsidy tracking </li><li>Reliable support for staff and daily operations </li><li>Successful execution of outreach efforts and enrollment events </li></ul> <p>Compensation & Benefits</p> <ul> <li>$38,000 annual salary </li><li>Bonus potential up to $4,000/year based on performance </li><li>Paid holidays and school closures (including winter break) </li><li>Growth and development opportunities </li></ul> <p>Requirements</p> <ul> <li>2+ years of experience in childcare, admissions, customer service, or administrative coordination </li><li>Bachelor's degree in Early Childhood Education, Education Administration or related field; advanced credentials are a plus </li><li>Strong organizational skills and attention to detail </li><li>Ability to manage multiple priorities while maintaining accuracy </li><li>Strong communication and interpersonal skills </li><li>Comfortable using Procare or similar systems </li><li>Willingness to support classroom operations when needed </li><li>Demonstrated reliability, follow-through, and accountability </li></ul> <p>Important</p> <p>This is a hands-on role.
