<p>Overview</p> <p>The Event Planning Specialist drives the planning, coordination, and execution of high-quality internal and external events that elevate AmTrust's brand, employee engagement, and partner experience. This role oversees end-to-end event operations, collaborates with cross-functional teams, and delivers seamless in-person and virtual programs that reflect AmTrust's mission, values, and standards.</p> <p>This position will be hybrid out of one of our AmTrust offices.</p> <p>Responsibilities</p> <ul> <li>Event Planning & Execution </li><li>Design, coordinate, and execute internal and external events, including face-to-face, hybrid, and virtual programs </li><li>Administer registration systems, event apps, surveys, signage, and on-site logistics </li><li>Source and secure venues, negotiate contracts, and manage food & beverage, transportation, and production requirements </li></ul> <p>Financial & Vendor Management</p> <ul> <li>Develop and oversee event budgets, ensuring accurate tracking and reconciliation </li><li>Direct vendor relationships, review and negotiate contracts, and manage accounts payable </li><li>Monitor and enforce cost-control practices and company financial policies </li></ul> <p>Collaboration & Stakeholder Support</p> <ul> <li>Partner with internal teams, executives, and external vendors to align event objectives, timelines, and expectations </li><li>Advise stakeholders throughout the event lifecycle to ensure professional, high-quality attendee experience </li></ul> <p>Leadership & Development</p> <ul> <li>Guide, train, and support the Producer and/or Coordinator for Meetings and Events </li><li>Champion best practices and contribute to continuous improvement efforts across the department </li></ul> <p>Industry & Market Awareness</p> <ul> <li>Stay current with hospitality trends, venues, emerging technologies, and industry best practices </li><li>Introduce and apply innovative ideas to enhance program effectiveness and attendee engagement </li></ul> <p>Qualifications</p> <p>Required</p> <ul> <li>5+ years of experience in event planning, meetings management, or hospitality </li><li>Strong proficiency in Microsoft Excel, Word, and PowerPoint </li><li>Proven ability to manage budgets, coordinate vendors, and orchestrate complex logistics </li><li>Exceptional organizational, problem-solving, and multi-tasking abilities </li><li>Professional presence with the ability to communicate and present effectively to senior leaders </li><li>Demonstrated ability to perform calmly and adapt quickly in fast-paced, high-pressure environments </li></ul> <p>Preferred:</p> <ul> <li>Bachelor's degree in communications, Hospitality, Marketing, Public Relations, or related field </li><li>Experience with financial planning, budgeting, and marketing support </li><li>Familiarity with event technology platforms, virtual meeting tools, and professional systems (e.g., Cvent, Copilot, SurveyMonkey, Qualtrics, Ironclad, Concur, Oracle) </li></ul> <p>Physical Demands & Work Environment:</p> <ul> <li>Ability to work onsite or remotely, with travel as needed </li><li>On-site event support may require standing, walking, or moving for extended periods (up to 12 hours) </li><li>Ability to lift and transport items up to 25 lbs </li><li>Ability to manage peak workloads and tight deadlines during major event periods </li></ul> <p>This job description is designed to provide a general overview of the requirements of the job and does not entail a comprehensive listing of all activities, duties, or responsibilities that will be required in this position.</p> <p>The expected salary range for this role is $64,400-$80,000.</p> <p>Please note that the salary information shown above is a general guideline only.
