<p>Position Purpose The Student Services Transportation and Finance Operations Secretary provides confidential, financial, and transportation services involving considerable independent judgment and initiative. Under the direction of the Director of Student Services, the Student Services Transportation and Finance Operation Secretary is accountable for providing accurate details and compliance with IDEA regulations in performing various changing tasks to ensure operations run smoothly.</p> <p>.Essential Functions Other duties as assigned Model a collaborative, team-player mindset while providing calm and professional customer service to the public, parents, and staff of all levels. Demonstrate strong oral and written communication skills, including an expert phone manner and the ability to take complete, accurate messages. Analyze urgent situations accurately and exercise sound judgment to take effective action in a busy office environment including the ability to be self-sufficient and troubleshoot issues independently or seek necessary assistance. Maintain a high level of productivity by performing work quickly and accurately while multitasking and pivoting priorities as needed. Answer phones, respond to routine inquiries, schedule appointments, and ensure calls or visitors are routed to the appropriate personnel. Process, sort, and file documents, reports, and student records according to prescribed methods, maintaining accurate digital and hard copy records and cross-checking documentation to ensure accuracy for reference purposes. Utilize strong computer competence in standard office software (Google Docs, Word, Excel) and specialized programs to meet all departmental responsibilities. Maintain the utmost discretion and confidentiality regarding sensitive student/staff concerns, official records, and student-related budgetary data in accordance with regulations. Maintain awareness of federal and state regulations (DESE SPED) related to documentation and reporting and assist in the preparation of forms and procedures to ensure total compliance. Provide supporting documentation to State and Federal auditors and assist the Director of Student Services during all phases of State Compliance Reviews while maintaining financial records of invoices, POs, and payment confirmations for audit and state reporting purposes. Coordinate the preparation of purchase orders, invoices, and timesheets, including the processing of out-of-district tuitions (residential, private, and collaborative) and work with the Director of Student Services and Director of Finance & Operations to coordinate contracts between the district and various agencies. Manage and submit the district's Medical Assistance billing database, including maintaining accurate staff/student lists, checking for discrepancies, communicating deadlines/procedures to staff, and assisting with staff documentation compliance or training) Schedule, confirm, and monitor specialized transportation (SPED, homeless, DCF, & mileage reimbursement) and troubleshoot needs as they arise. Coordinate Hospital/Homebound tutoring services-maintaining logs and communicating start/discharge dates and progress reports to school personnel. Manage and submit the state reimbursement program (Circuit Breaker). Support the annual budget process by providing accurate figures to Team Chairs, the Out-of-District Coordinator, the Director of Student Services, and Director of Finance & Operations Maintain monthly attendance spreadsheets for out-of-district students and track staff mileage reimbursements. Perform other secretarial and clerical duties as assigned by the Director of Student Services. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.</p> <p>The noise level in the work environment is moderate to loud.</p> <p>Education and experience Minimum of an associate's degree (preferably in accounting) with three (3) years accounting/bookkeeping experience.</p> <p>Knowledge Ability and Skills Ability to use word processing and spreadsheet tools as well as the ability to type at least 55 words per minute. Ability to establish and maintain effective relationships with students, peers and parents; skill in oral and written communication. Have a thorough knowledge of the use of technology as a means to understand and analyze data that is associated with the content area. Ability to read, analyze, and interpret documents such as procedure manuals, safety rules, and operating and maintenance instructions. Ability to write reports and job-related correspondence. Ability to speak effectively with administrators, teaching and other staff, parents, and students. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to develop and interpret graphs, tables, and charts. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.</p> <p>Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
