<p>Position Description</p> <p>Job Responsibilities</p> <p>Under general direction</p> <ul> <li> <p>Serves as point of contact between DFA administration, clients, public and private agencies, government officials, staff, and the general public.</p> </li><li> <p>Schedules appointments including</p> </li><li> <p>Meetings</p> </li><li> <p>Conferences</p> </li><li> <p>Special events</p> </li><li> <p>Responsible for normal, daily DFA functions including maintaining office supply inventories, ensuring space is organized, answering phone calls, and greeting guests</p> </li><li> <p>Screen and direct inquiries via email or phone calls.</p> </li><li> <p>Distributes mail and prepares packages.</p> </li><li> <p>Organize and prepare for meetings (excluding board meetings), including gathering documents, attending to logistics, and meal coordination.</p> </li><li> <p>Organize the office layout and ensure appropriate stationery and equipment are available and in working order.</p> </li><li> <p>Address staff requests regarding office administration needs.</p> </li><li> <p>Coordinate with service providers for all office equipment.</p> </li><li> <p>Make travel and accommodation arrangements for DFA management staff.</p> </li><li> <p>Provides assistance across multiple accounts payable/accounts receivable processes</p> </li><li> <p>Assist in the onboarding process for new hires</p> </li><li> <p>Interact with property managers for cleaning, security, and facility maintenance</p> </li><li> <p>Prepares reports, presentations, documents, and correspondence with accuracy and professionalism.</p> </li><li> <p>Maintains organized and comprehensive contact lists.</p> </li><li> <p>In coordination with supervisor, research and/or monitor programs, projects, and inquiries.</p> </li><li> <p>Organize and maintain paper and electronic filing systems.</p> </li><li> <p>Updates manuals and documents.</p> </li><li> <p>Provides messenger services as needed.</p> </li><li> <p>Assists other employees, clients, community, and governmental agencies as directed.</p> </li><li> <p>Attends meetings, conferences, workshops, seminars, and training to remain current and knowledgeable on agency, provider, and program rules, policies, regulations, procedures, and to receive information on available resources.</p> </li><li> <p>Presents self in a professional, ethical, and culturally sensitive manner to coworkers, partners, and the public.</p> </li><li> <p>Demonstrates regular and predictable attendance.</p> </li><li> <p>Performs other duties as assigned.</p> </li></ul> <p>Qualifications or Equivalent Combinations for Training and/or Experience</p> <ul> <li>Completion of two (2) years post-secondary education in business, secretarial sciences, or related discipline </li><li>Two (2) years' experience performing responsible administrative and clerical duties or </li><li>Equivalent combination of training, education, and experience that provide required knowledge and abilities to perform the duties of the position </li></ul> <p>Knowledge, Skills, and Abilities</p> <ul> <li>Knowledge of business and public administration </li><li>Government process and structure </li><li>Administrative and office practices and procedures </li><li>Excellent MS Office Knowledge </li><li>Familiarity with standard office equipment/technology </li><li>Rules of English grammar and composition, communicate effectively in written and spoken English </li><li>Ability to analyze and interpret data </li><li>Discretion and confidentiality </li><li>Outstanding organizational and time management skills. </li><li>Prioritize multiple tasks and determine specific actions. </li><li>Proficiency in mathematics, organizational budgets, and invoicing. </li><li>Handle routine and sensitive inquiries from government officials and general public </li><li>Maintain effective working relationships. </li><li>Perform assigned duties with minimal supervision. </li><li>Demonstrate regular and predictable attendance. </li></ul> <p>Other Requirements</p> <ul> <li>Possession of a valid driver's license or state ID </li><li>Must maintain all required licenses, training, and certification </li></ul> <p>Working Conditions</p> <ul> <li>Job is physically comfortable, requires sitting, walking, standing, bending, keying, talking, hearing, seeing, and repetitive motions </li><li>Work is performed in an office setting and employee will be exposed to normal hazards associated with an office environment </li><li>Employee may be required to travel and access various assigned work sites, other offices, and agencies </li><li>Must regularly lift up to 10 pounds and occasionally lift and/or move up to 25 pounds </li></ul> <p>Work schedule -
