<p>Job Description: Billing Manager</p> <p>Purpose of Position:</p> <p>The Billing Manager oversees the company's billing operations to ensure accurate, timely, and efficient invoicing. This role manages the billing team, ensures compliance with contract terms, supports cash flow through timely billing, and works closely with operations, accounting, and project management to resolve billing issues.</p> <p>The Billing Manager plays a key role in revenue capture, invoice accuracy, and operational billing discipline, ensuring all completed work, service agreements, and projects are properly entered, billed, and tracked.</p> <p>Essential Functions:</p> <ul> <li>Oversee daily billing activities, including service invoices, project billing, and contract billing </li><li>Ensure invoices are issued accurately and on schedule </li><li>Ensure billing aligns with contract terms, pricing structures, and customer agreements </li><li>Manage time & material billing, progress billing, milestone billing, and fixed contract billing </li><li>Manage GMS Accounts Receivable and address billing issues impacting collections </li><li>Monitor unbilled work orders, service agreements, and project billings </li><li>Ensure work performed converts to revenue quickly and accurately </li></ul> <p>Service Agreements & Project Billing</p> <ul> <li>Responsible for entering, maintaining, and billing all customer service agreements </li><li>Ensure service agreement schedules, pricing, and billing cycles are accurately set up in the system </li><li>Coordinate with Service Managers and CSRs to ensure agreements are activated and billed according to contract terms </li><li>Oversee the entry, setup, and billing of projects, including proper job setup, billing schedules, and documentation </li><li>Ensure projects and service agreements convert to revenue accurately and on time </li></ul> <p>Team Leadership</p> <ul> <li>Supervise and develop Billing Analysts </li><li>Establish clear billing processes and accountability </li><li>Train staff on billing procedures, documentation requirements, and systems </li><li>Monitor team productivity, accuracy, and turnaround time </li></ul> <p>Financial Accuracy</p> <ul> <li>The Billing Manager will work closely with accounting to determine customer creditworthiness. </li><li>The role will apply sound judgment and established credit analysis practices-such as reviewing D&B or similar credit reports, evaluating payment history, and recommending appropriate credit limits-to help mitigate financial risk. </li><li>The ideal candidate brings prior experience analyzing customer credit risk and contributing to credit approval or limit-setting decisions using defined criteria, supporting disciplined growth while protecting the company's financial position. </li></ul> <p>Operational Collaboration</p> <ul> <li>Work closely with Service Managers, Project Managers, Dispatch, and Operations </li><li>Ensure technicians and project teams submit complete and timely documentation </li><li>Help resolve customer billing questions or disputes </li></ul> <p>Process Improvement</p> <ul> <li>Identify opportunities to streamline billing workflows </li><li>Improve billing cycle time and documentation quality </li><li>Implement best practices for billing accuracy and operational efficiency </li></ul> <p>Additional Responsibilities:</p> <ul> <li>As assigned. </li></ul> <p>Position Qualifications: to perform at a proficient level and to be fully qualified for this position, a person would be expected to have:</p> <p>Education / Training</p> <p>? Bachelor's degree and 5+ years of relevant office or administrative experience</p> <p>? Demonstrated ability to document and report information essential for the resolution and communication with both internal and customer.</p> <p>? Good communication (verbal & written) skills.</p> <p>? Demonstrated ability to document and report information essential for the resolution and effectively communicate with management and customer.</p> <p>Work Experience / Skills</p> <p>? Strong computer (MS Office) skills, as well as demonstrated ability to effectively utilize ERP system.</p> <p>? Ability to manage high transaction volumes and deadlines.</p> <p>? Knowledge of HVAC / Plumbing.</p> <p>? Highly organized and strong attention to detail.</p> <p>? Excellent verbal and written communication skills.</p> <p>? Strong sense of urgency attending to customer issues.</p> <p>?
