<p>About the Position</p> <p>A U.S. government agency requires a full time Executive Assistant contractor to provide critical administrative support to Senior Leadership within the agency.</p> <p>This position is based in Washington, DC and is contingent upon contract award.</p> <p>Responsibilities</p> <ul> <li>Organizing and prioritizing the high incoming flow of work for the Senior Leader and/or their office; </li><li>Responding to and scheduling requests for meetings, invitations, and requests to participate at special event, booking official appointments and meetings; </li><li>Greeting and escorting guests at Agency Headquarters; </li><li>Maintaining a control and follow-up system for incoming workload and correspondence to ensure timely responses; </li><li>Drafting and proofreading correspondence, reports, and other documents for the Senior Leader/Senior Leader's office; </li><li>Managing incoming and outgoing communications, including email, phone calls, and mail; </li><li>Assisting with travel coordination and voucher processing for the office; </li><li>Maintaining records and databases, including tracking projects and deadlines; </li><li>Coordinating with other department and stakeholders on administrative projects, data calls, and workplace analysis for the Senior Leader/Senior Leaders office; and </li><li>Process internal ethics clearances for speakers' participation at events or widely attended gatherings. </li><li>Supporting procurement and acquisition process for the office with the supervision of the Administrative Program Manager. </li><li>Other administration tasks as required. </li></ul> <p>Qualifications</p> <ul> <li>3-5 years' experience providing administration/procurement support in a federal environment, international organization or financial institution. </li><li>Detail orientated, flexible, and sound professional skills, with the ability to take responsibility for multiple tasks/projects and deadlines simultaneously. </li><li>Excellent verbal and written communication and grammatical skills. </li><li>Candidate(s) must be able to perform with some supervision in a high pace environment. </li></ul> <p>Preferred Qualifications</p> <ul> <li>A Bachelor of Arts in Business Administration. </li><li>Bilingual English/Spanish or English/Portuguese. </li></ul> <p>Work Environment Requirements</p> <ul> <li>This contract does not allow for work to take place outside of agency headquarters. There will be no "telework" or "remote work." </li><li>The Executive Assistant must work 8 hours each day, with an additional 45-minute lunch break. Must work during core business hours of 9:00 am to 3:45 pm each day but may flex their start time and end times outside of the core hours within a 7:00 am to 5:45 pm window. </li><li>The Executive Assistant is not required to work during Federal Holidays or any other point in which the agency headquarters building is closed (ex: presidential-directed holiday, administrative leave directed by the CEO resulting in building closure, weather related emergencies resulting in building closure, etc.). </li><li>No travel is anticipated as part of this contract. </li></ul>
