<p>These duties also include computing wage and overtime payments, calculating and recording payroll deductions, processing requests for paychecks, balancing and controlling earnings and deduction totals, and determining and correcting out-of-balance conditions.</p> <p>Duties and Responsibilities</p> <p>Vanderbilt University Payroll Function</p> <ul> <li>Process high volume payrolls (weekly, biweekly and monthly) for faculty, staff and students (including international students and scholars) to ensure all employees are paid accurately and timely. </li><li>Manually calculate gross to net for overpayment calculations and understand the mechanics of such calculations to effectively communicate with employees. </li><li>Manage workflow to ensure all payroll transactions are processed accurately and timely within the specified time period given while communicating effectively with internal constituents. </li><li>Responsible for processing contract faculty and teaching payroll including 9 and 10 month appointments and deviated contracts on a monthly basis with accuracy. </li><li>Maintain confidentiality for employee personal, job and payroll information. </li><li>Research issues and complete audits for payroll earnings, deductions, taxes, benefits and general ledger </li><li>Responsible for the setup and processing of involuntary deductions such as child support, levies and other wage withholdings in compliance with State and Federal laws, including managing the relationship with garnishment vendor, ADP. </li><li>Keeping abreast of payroll legislative changes and update procedures to ensure Vanderbilt complies and applies correct processing of payroll checks and employees are paid correctly. </li><li>Participate in quarter and calendar year-end activities including W-2/W-3 and W-2c/W-3c processing and accurate balancing to the institution's general ledger and to 3rd party tax vendor. </li><li>Identify, develop, and implement opportunities for process improvements to more efficiently run payroll-related processes or to improve controls and compliance as they relate to payroll and deduction processing. </li><li>Works with business units to investigate and resolve errors and discrepancies promptly </li><li>Processes the repayments of overpayments that are returned to the University, including calculating appropriate net amounts due, handling returned paychecks, depositing reimbursement checks received, and performing ACH reversals. Manages the related accounting entries and balance adjustments in the Oracle HCM to ensure wages and taxes are correctly reported and trued up against the general ledger. </li><li>Respond promptly within 24 hours to questions from ticketing system </li></ul> <p>Professional, Managerial, and Leadership Skills</p> <ul> <li>Effectively oversees a team of 3 payroll support staff members. </li><li>Intrinsic integrity and excellent professional judgment. Provides appropriate positive and constructive feedback; shares knowledge and develops employees; deploys coaching strategies; celebrates publicly, critiques privately. </li><li>Demonstrates the ability to create a positive work climate, establishing a feeling of partnership and empowering others. </li><li>Builds and sustains strong working relationships across organizational divisions and with diverse constituents; conducts oneself in ways that are appropriate and respectful of the diverse cultures that make up the Vanderbilt community. </li></ul> <p>Qualifications:</p> <ul> <li>Must have 2+ years of payroll processing experience for 3,000 plus employees </li><li>Experience with Faculty Contract Pay appointments and deviated contracts is preferred </li><li>Proficiency in Excel is required; advanced functionality such as running pivot tables, V-lookups, and sum-if scenarios is strongly preferred. </li><li>Proficiency in Outlook, Microsoft Word, and other common business software is preferred. </li><li>Payroll experience with a large, complex organization that handles its payroll largely in-house is preferred. </li></ul>
