Working hand-in-hand with cross-functional teams ensuring each initiative is strategically aligned with overall business goals. Managing project timelines, allocating resources, and facilitating open communication among all stakeholders. Facilitating seamless coordination across departments, the Systems Project Coordinator helps drive project success and fosters a collaborative environment that supports the district's larger strategic objectives.</p> <p>WHAT YOU'LL DO:</p> <p>? Streamline team tasks: Collaborate with project leads to organize and manage daily activities, ensuring tasks are efficiently distributed and executed.</p> <p>? Administrative support: Handles scheduling, correspondence, and documentation for the special projects team, enabling smooth operations.</p> <p>? Project planning & monitoring: Develop or maintain project timelines, track progress, and provide regular updates to stakeholders.</p> <p>? Execution & coordination: Work with systems project and cross-functional teams to ensure milestones are met, resources are allocated properly, and any obstacles are proactively addressed.</p> <p>? Reporting & documentation: Compile data on project outcomes, prepare status reports, and maintain essential project records for management review.</p> <p>? Support Continuous Improvement: Contribute ideas for refining project management methodologies and enhancing team efficiency. Stay current on best practices and tools to help drive innovation and improved results.</p> <p>CORE DUTIES AND RESPONSIBILITIES:</p> <p>? Team collaboration: Prioritizes the collective success of the team, collaborating effectively with others to accomplish shared objectives. Budgeting: Creating budgets and strategies to reduce expenses while maximizing quality.</p> <p>? Communicating with stakeholders: Keeping stakeholders informed of the project's status.</p> <p>? Managing project timelines: Ensuring the project and all related processes run smoothly.</p> <p>? Resource coordination: Allocating resources efficiently so the right people and materials are available when needed.</p> <p>? Procurement: Assist or oversee project procurement management.</p> <p>? Negotiating with contractors and suppliers: Working with contractors and suppliers as needed.</p> <p>? Preparing action plans: Working with the project manager to prepare action plans that include budgets, timeframes, and resources.</p> <p>? Thought partnership: engage in deeper-level thinking and dialogue to generate new insights, solve complex problems, and refine strategic directions.</p> <p>? Perform other related duties as assigned: Undertake any tasks or responsibilities that arise in the normal course of business, ensuring flexibility and responsiveness to evolving organizational needs.</p> <p>"DAY IN THE LIFE" OVERVIEW:</p> <p>On a regular day, as the Project Coordinator, you might:</p> <p>? Check email and project management tools: Review tasks based on updates and deadlines. Prioritize tasks based on urgency and overall project goals.</p> <p>? Daily team stand-up: Attend or Host (if needed) a brief meeting to gather status updates from each team member. Identify new action items, discuss roadblocks, and clarify responsibilities for the day. Reassign tasks if workloads are uneven or if a team member needs extra support.</p> <p>? Calendar & resource coordination: Schedule or confirm upcoming project-related meetings. Allocate resources (people, equipment, or budget items) where needed, ensuring no overlap or conflict.</p> <p>? Compile progress reports: Gather data on completed tasks, current milestones, and any variations from project timelines. Update documentation and project trackers so stakeholders have accurate information.</p> <p>? Stakeholder communication: Send out or respond to status reports, meeting agendas, and project updates. Engage with contractors or suppliers, relaying essential information or clarifications.</p> <p>? Administrative duties: Update project files, folders, and internal systems with relevant documentation. Process purchase orders, invoices, or other support documents as necessary.</p> <p>? Issue resolution: Proactively address any obstacles team members might be facing. If needed, escalate or collaborate with the project manager or senior leadership for timely solutions.</p> <p>? Cross-team meetings: Facilitate or attend scheduled project syncs, ensuring alignment between different departments (e.g., HR, Finance, Operations). Take notes on critical decisions or new action items that emerge.</p> <p>? Project planning & adjustments: Reassess timelines, budget constraints, and deliverables based on current information. Update project plans to reflect any changes in scope or schedule.</p> <p>? Vendor and contractor check-ins: Coordinate with external partners or suppliers to confirm delivery schedules, and project requirements, or negotiate terms. Document all communications to maintain transparency and accountability.</p> <p>? Team collaboration Sessions: Work with team members to refine workflows, schedules, or risk mitigation plans. Encourage open discussions around potential improvements or challenges.</p> <p>? Project monitoring: Track project KPIs or milestones to verify the team is meeting performance targets. Prepare any interim reports requested by the project manager or stakeholders.</p> <p>? Update project management systems: Record any changes in task status or deadlines. Log key outcomes from the day's meetings and ensure all relevant documentation is filed appropriately.</p> <p>? End-of-Day debriefs: Check-in informally with project leads or the project manager to review wins, outstanding issues, and tomorrow's priorities. Adjust task lists or schedules accordingly.</p> <p>? Planning: Send out meeting invites or agendas for the next morning's stand-up. Technology Proficiency: Utilize Google Drive, Microsoft Teams, Smartsheet, excel, Planner, and other data visualization tools.</p> <p>SUPERVISORY RESPONSIBILITIES:</p> <p>None</p> <p>EDUCATION, CERTIFICATION, AND LICENSURE REQUIREMENTS:</p> <p>? Preferred Education: Bachelor's degree in a business discipline, project management, communications, human resources, education, or another technical business administration field.</p> <p>? Project Management Experience: 3-4 years minimum of direct project management experience. Alternatively, 5 or more years of combined experience in project management or administrative support-where an equivalent blend of training and experience demonstrates the required knowledge and abilities-may be considered.</p> <p>?
