You'll be central to project scheduling, client communications, financial oversight, and internal coordination. At MAC, you're not just helping build projects-you're helping build a legacy.</p> <p>Learn more at www.macpropertygroup.com</p> <p>Key Responsibilities</p> <p>Operations & Workflow Management</p> <ul> <li>Maintain and update project schedules, inspections, trade timelines, and deliveries. </li><li>Build and refine company SOPs for repeatable success. </li><li>Track milestones, identify risks, and report potential delays. </li><li>Run weekly leadership meetings and drive completion of action items. </li><li>Streamline internal communication between office, field, and subs. </li></ul> <p>Job Costing & Financial Oversight</p> <ul> <li>Create and manage job costing systems for each project. </li><li>Monitor budgets, allowances, changes, and overages. </li><li>Track AP/AR and generate weekly financial performance reports. </li><li>Oversee change order process-pricing, documentation, approvals. </li></ul> <p>Proposal & Contract Preparation</p> <ul> <li>Collaborate with the Intake Coordinator to convert leads into estimates and contracts. </li><li>Build proposal templates with scopes, line items, and allowances. </li><li>Maintain vendor pricing and subcontractor rates. </li></ul> <p>Client & Communication Management</p> <ul> <li>Send weekly client updates and ensure timely communication. </li><li>Keep schedules, change orders, and selections current. </li><li>Maintain organized digital project records, photos, and logs. </li><li>Serve as a central communication hub for clients and vendors. </li></ul> <p>Field Coordination Support</p> <ul> <li>Provide Field Superintendent with current schedules and materials lists. </li><li>Track deliveries, purchase orders, and equipment use. </li><li>Coordinate permitting, inspections, and compliance tasks. </li></ul> <p>Administrative & Technical Management</p> <ul> <li>Manage Buildertrend, CoConstruct, or similar PM software. </li><li>Update dashboards and metrics (KPIs, job costing, scheduling). </li><li>Maintain templates, forms, company files, and digital tools. </li><li>Occasionally assist Marketing/Admin with photo organization and content prep. </li></ul> <p>Qualifications</p> <p>Required Skills & Traits</p> <ul> <li>Strong administrative, organizational, and follow-through abilities </li><li>Excellent verbal and written communication </li><li>High proficiency with spreadsheets (Excel or Google Sheets) </li><li>Prior experience in construction estimating, coordination, or residential project management </li><li>Ability to manage multiple active projects with calm confidence </li></ul> <p>Preferred Experience</p> <ul> <li>Familiarity with Buildertrend, CoConstruct, or comparable platforms </li><li>Understanding of construction phases and sequencing </li><li>Vendor and subcontractor communication </li><li>Financial tracking and job costing systems </li></ul> <p>Ideal Personality Traits</p> <ul> <li>Calm under pressure and proactive </li><li>Detail-oriented and systems-minded </li><li>Process-driven with high integrity </li><li>Collaborative, team-first mindset </li><li>Thrives in a fast-paced environment with evolving priorities </li></ul> <p>Benefits</p> <ul> <li>Competitive hourly pay ($18-$22/hour depending on experience) </li><li>PTO and flexible scheduling </li><li>Weekly pay cycle </li><li>Training and development opportunities </li><li>Clear 90-day growth expectations and onboarding support </li><li>Leadership opportunities in a growing company </li><li>Stable, family-like team culture </li><li>Low-drama, high-trust work environment </li></ul> <p>Schedule</p> <ul> <li>Full-Time, Monday-Friday </li><li>Primarily in-office with some travel to project sites as needed </li></ul> <p>Location</p> <ul> <li>Columbus, IN (main office) </li><li>Occasional on-site coordination at local builds (minimal travel) </li></ul> <p>Equal Employment Opportunity</p> <p>We are proud to be an Equal Opportunity Employer.
