<p>Description</p> <p>This position will serve as supporting administrative functions, and assisting with special projects as needed. The ideal candidate will have strong customer service skills, attention to detail, and the ability to manage multiple tasks simultaneously.</p> <p>Duties and Responsibilities</p> <p>Customer Service: Provide excellent customer service to both internal and external customers by answering phones, addressing inquiries, and assisting with requests.</p> <p>Reception & Administrative Support: Manage front desk reception duties, including answering and directing phone calls, assisting walk-ins, distributing mail, and maintaining office supplies.</p> <p>Work Order Management: Input and track Cartegraph work orders, ensuring timely completion. This includes data entry, labor tracking, invoice notes, and closing work orders.</p> <p>Travel Coordination: Arrange travel accommodations for department staff, ensuring all travel logistics are handled smoothly.</p> <p>Meeting Coordination: Schedule meetings, reserve conference rooms, and maintain up-to-date conference room schedules. Attend committee meetings as required and take detailed meeting minutes.</p> <p>Kantech System Support: Assist with the Kantech System, including printing ID badges, taking employee photos, granting access levels, and setting door/gate schedules.</p> <p>Parking Management: Administer parking access for employees in various parking locations, including the Employee Garage, South Surface Lot, and Cottage Street Lot. Maintain a waiting list and assign parking at the City of Palms Garage.</p> <p>Document Preparation & Data Entry: Prepare word processing documents and perform routine data entry as needed.</p> <p>Special Projects: Assist with special projects and other duties as assigned, supporting the various divisions with their administrative needs.</p> <p>Facilities Support: Serve as the United Way and Health & Wellness representative for Facilities and monitor water delivery and approve associated payments.</p> <p>Education, Experience, Licensing</p> <ul> <li>Education & Experience: A high school diploma or GED equivalent is required. Additional coursework or training equivalent to one year of college in business administration, finance, human resources, or a related field is preferred. </li><li>Experience:Two years of clerical, administrative, customer service, or closely related office support experience is required. </li><li>Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and data entry is required. Experience with Kantech, Cartegraph, or similar systems is a plus. </li></ul> <p>Supplemental Information</p> <ul> <li>Strong organizational and multitasking abilities. </li><li>Excellent verbal and written communication skills. </li><li>Detail-oriented with the ability to maintain confidentiality. </li><li>Ability to work independently as well as part of a team. </li></ul>
