<p>POSITION OVERVIEW: The Assistant School Business Manager provides professional and technical support in the administration of the financial, accounting, and business operations of Blue Hills Regional Technical School. This position plays a critical role in maintaining the fiscal integrity of the district by preparing journal entries, monitoring accounts, assisting in payroll and human resources functions, and overseeing accounts payable and receivable. The ideal candidate has strong experience in accounting, journal entry preparation, and school business office operations, with the ability to collaborate effectively with district administrators, staff, and external partners. This is a Standard 12-month, full-time administrative office position. Work is performed in a business office setting with frequent interaction with staff, administrators, and vendors. Occasional evening meetings may be required. KEY RESPONSIBILITIES:</p> <p>Accounting & Financial Reporting: Prepare, review, and post journal entries in accordance with Massachusetts DESE guidelines. Assist in monthly, quarterly, and annual financial reconciliations and closings. Maintain general ledger accounts and ensure accuracy of transactions across all funds (general, revolving, grant, capital). Support budget preparation, monitoring, and analysis. Assist with year-end reporting, including DESE End-of-Year Financial Report (EOYR) and audits. Accounts Payable & Receivable Process invoices, purchase orders, and vendor payments in compliance with state procurement laws (MGL Chapter 30B). Reconcile vendor accounts and resolve discrepancies. Maintain accurate records of encumbrances and expenditures. Assist in monitoring receivables, grant reimbursements, and revolving funds. Payroll & Human Resources Support Assist in payroll preparation, ensuring accurate pay and benefit calculations. Verify time sheets, attendance, and leave records for compliance with contracts and policies. Support employee onboarding, benefits enrollment, and personnel file maintenance. Collaborate with HR staff to ensure compliance with collective bargaining agreements, state regulations, and district policies. Compliance & Reporting Assist in preparing reports for the School Committee, administration, and regulatory agencies. Maintain compliance with DESE, state, and federal financial regulations. Support grant management by tracking expenditures and preparing reimbursement requests. Participate in internal and external audits, providing documentation and explanation as required. Other Duties Provide customer service to staff, administrators, and vendors on financial and business-related matters. Assist with special projects, financial analysis, and process improvements. Perform other related duties as assigned by the School Business Manager and/or Superintendent. QUALIFICATIONS: Required Minimum three (3) years of accounting experience, including journal entry preparation and reconciliation. Strong knowledge of accounting principles, financial reporting, and audit practices. Proficiency with financial management software (Tyler Technology, Harpers, etc.) and Microsoft Excel. Excellent organizational skills and attention to detail. Ability to handle confidential information with discretion. Preferred Experience in a public school, municipal, or governmental finance setting. Familiarity with accounts payable, payroll, and human resources functions. Experience with Massachusetts DESE financial reporting requirements. Knowledge of MUNIS, Tyler Technologies, or other ERP systems. Massachusetts Certified Public Purchasing Official (MCPPO) or willingness to obtain.</p>
