Scott Street</p> <p>Youngstown, Ohio 44505</p> <p>This is a Full time position.</p> <p>Position Summary:</p> <p>The Juvenile Court Clerk's Office is seeking a detail-oriented, organized, and professional Deputy Clerk to provide clerical and customer service support within the Juvenile Court. This position plays a vital role in maintaining accurate court records, assisting the public, coordinating with court officials, and ensuring the efficient daily operations of the office.</p> <p>Key Responsibilities:</p> <ul> <li>Process, file, and maintain juvenile court documents, including petitions, motions, orders, and case files. </li><li>Assist judge, magistrates, attorneys, law enforcement, social service agencies, and the public with case information in accordance with confidentiality laws. </li><li>Prepare and issue court notices, summonses, warrants, and subpoenas. </li><li>Accurately enter data into case management systems and update records in a timely manner. </li><li>Locate files, organizes, sort and log files in and out for the schedules </li><li>Receive and process payments, fines, fees, and restitution; balance daily receipts. </li><li>Provide front-counter and telephone assistance with professionalism and courtesy. </li><li>Maintain confidentiality in all sensitive juvenile matters. </li><li>Perform other duties as assigned to support the efficient operation of the court. </li><li>Assist others in locating files, as needed. </li><li>Answer the telephones, respond to questions, direct calls and take messages. </li><li>Assist with researching files and documents, as assigned. </li><li>Manage department postal needs, as assigned. </li><li>Pick up, sorts and distributes mail. </li><li>Process and delivers outgoing mail. </li><li>Prepare certified mail report. </li><li>Organize and restock the supplies. </li><li>Photocopy materials. </li><li>File all pleadings, documents and tickets at the end of day. </li><li>Process and finalize all judgment entries and magistrate's order and dispose of all cases. </li><li>Prepare cases for bind overs, transfers to other Courts, appeals and expungements. </li><li>File all pleadings and documents at the end of day. </li><li>Enter, index, docket and certify all Judgment Entries and Magistrate's Orders/Decisions, as needed. </li><li>Forward paperwork and or motions by attorneys and other jurisdictions to appropriate departments and case managers daily. </li><li>Proofread documents to ensure accuracy. </li><li>History in converted cases and dispose of cases in computer system. </li><li>Prepares all forms, documents, seals and send certified mail, personal service and regular mail as instructed to. </li><li>Timestamp all CSB filings, process and complete service as instructed. </li><li>Process all C.S.E.A. filings and complete service as instructed. </li></ul> <p>Counter:</p> <ul> <li>Receives payment for fines/costs, bonds, new complaints, motions, guardians ad litem fees, restitution and electronic monitoring. </li><li>Sell luncheon tickets. </li><li>Time stamp all legal pleadings and documents. </li><li>Assists public with all case filings. </li><li>Assist public with questions, new case filings and motions. </li><li>Court appointed fees (indigent) </li></ul> <p>Miscellaneous:</p> <ul> <li>Performs additional duties and assignments, as requested. </li><li>Maintains and increases knowledge and skill through attendance at meetings, conferences, and training. </li><li>Sessions and in service training sessions </li><li>Assist with bookkeeping and traffic court </li><li>Training new personal </li><li>Deliver summons to the sheriff, deliver pleadings to courthouse and make daily deposits to the bank. </li><li>Balance cash drawer, close day and run report as a back-up to bookkeeper. </li></ul> <p>Minimum Qualifications:</p> <ul> <li>High school diploma or GED required with course work in office practices and procedure or an equivalent. </li><li>Prior experience in a court, legal, or government office setting is highly desirable. </li><li>Strong computer skills, including proficiency with case management software, Microsoft Office Suite, and data entry. </li><li>Excellent verbal and written communication skills. </li><li>Ability to work with sensitive information and maintain strict confidentiality. </li><li>Strong attention to detail, accuracy, and organizational skills. </li><li>Ability to multitask and work effectively in a fast-paced, high-volume environment. </li><li>Professional demeanor with the ability to interact respectfully with diverse populations. </li></ul> <p>Preferred Qualifications:</p> <ul> <li>Knowledge of juvenile court procedures, legal terminology, and court document processing. </li><li>Experience handling confidential records and working within statutory guidelines. </li><li>Courtview experience. </li></ul> <p>Work Environment & Physical Requirements:</p> <ul> <li>Standard office environment with significant computer and phone use. </li><li>May require occasional attendance in a courtroom setting. </li><li>Ability to lift up to [20-30 lbs] of files or office supplies as needed. </li></ul> <p>Combination of education, training and experience; a valid Ohio driver's license and an acceptable driving record.</p> <ul> <li>Or equivalent of Minimum Class Qualifications for employment noted above. </li></ul> <p>Unusual Working Conditions:</p> <p>Requires travel. Must have valid driver's license. Must be able to sit at a desk, stand, or walk for extended periods of time.
