<p>General Purpose:</p> <p>The Accounts Payable Technician will perform diverse accounts payable tasks, including invoice processing, email management, check management, and satellite office support. This role emphasizes versatility and skill development through rotating responsibilities to provide comprehensive support to the department.</p> <p>Why Holland & Hart? With generous benefits and a strong foundation built on community and inclusivity reflected in the firm's diverse, people-first environment, Holland & Hart offers a stable, heart-centered place to build a meaningful career.</p> <p>Essential Duties/Responsibilities:</p> <p>The following tasks may be rotated among multiple team members to ensure versatility and expertise, supporting individual skill development and ensuring comprehensive departmental support.</p> <p>Invoice Processing</p> <p>Manage A/P inbox:</p> <ul> <li>Respond to and forward messages as necessary, initiating invoice processing to maintain consistent communication and workflow. </li></ul> <p>Invoice and Payment Processing:</p> <ul> <li>Review each invoice for accurate addresses, coding, amounts and approvals. </li><li>Assess and apply sales & use tax as needed to ensure compliance and accuracy. </li><li>Enter/import invoices, credit card transactions, costs and journal entries. </li></ul> <p>Vendor Management</p> <p>Vendor creation:</p> <ul> <li>Ensure all prerequisites are obtained, and create vendors in system, ensuring no duplicates exist. </li></ul> <p>Manage W-9 documentation:</p> <ul> <li>Obtain and maintain vendor documentation, ensuring compliance with tax and regulatory requirements. </li></ul> <p>Manage statements:</p> <ul> <li>Review monthly vendor statements, requesting missing invoices, and updating vendor as necessary on payment status. </li></ul> <p>Check Management</p> <p>Schedule, print and distribute checks:</p> <ul> <li>Organize and execute payment runs, coordinating with A/P Specialists, attaching remittances for accurate payment application and timely mailing. </li><li>Match checks to invoices and mail checks. </li></ul> <p>Check cancellations:</p> <ul> <li>Ensure all void checks have proper documentation. </li><li>Cancel checks, place stop payments. </li><li>Research stale-dated checks. </li></ul> <p>Positive pay:</p> <ul> <li>Upload positive pay files for each check run. </li></ul> <p>Credit Card Transaction and Statement Processing</p> <p>Credit Card Transactions:</p> <ul> <li>Assist users with one-time vendor credit card payments, ensuring proper coding, approval, support and receipt once transaction is complete. </li><li>Manage recurring payments on vendor credit card. </li></ul> <p>Credit Card Statements:</p> <ul> <li>Prepare statements for processing and for reconciliation. </li><li>Distribute to users for receipts, coding and approval. </li></ul> <p>Transaction Assembly:</p> <ul> <li>For each statement, assemble individual transaction receipts for entry, reviewing for proper receipts, coding and approvals. </li></ul> <p>Satellite Office Support</p> <p>Manage Invoices:</p> <ul> <li>Oversee processing of satellite office invoices to support consistent financial operations. </li><li>Obtain coding/approval as needed. </li></ul> <p>Check Processing:</p> <ul> <li>Coordinate with in-office personnel to issue physical checks on-site. </li></ul> <p>Manage Inquiries:</p> <ul> <li>Process internal and external inquiries about invoices, payment and other questions. </li></ul> <p>Foreign Counsel Invoices:</p> <p>Manage all foreign counsel invoices:</p> <ul> <li>Review invoices, preparing them for commitment and ERP import for seamless international transactions. </li><li>Additional projects: Scanning/filing as necessary. </li><li>Undertake additional projects as necessary, adapting to evolving business needs and priorities. </li></ul> <p>Competencies:</p> <ul> <li>Communication - Demonstrates an understanding of objectives, duties, responsibilities, and expectations of the job with exceptional quality work. </li><li>Team Player - Works within team and cross-functionally to meet required results. </li></ul> <p>Supervisory Duties (if applicable):</p> <p>None.</p> <p>Job Qualifications (Education, Experience and Certification):</p> <ul> <li>One (1) + years of full-cycle AP or related experience OR a bachelor's or associate's degree in accounting, finance or business. </li><li>Requires a basic understanding of accounting theory, procedures and principles. </li><li>Must be fast and accurate with data entry. </li><li>Excellent organizational skills and attention to detail required. </li><li>Strong interpersonal skills, including written and oral communication skills required. </li><li>Excellent customer service and response time expected. </li><li>Must be able to transition efficiently between different software systems. </li><li>Efficient 10-key skills required. </li><li>Intermediate knowledge of Outlook, Excel and Word required. </li></ul> <p>Physical Requirements:</p> <p>While performing the duties of this position, the employee must have the ability to sit, stand and/or walk for extended periods of time; manipulate (lift, carry, move) weights of at least ten (10) pounds; have repetitive wrist/hand/finger movement to work on a computer and/or related office equipment; speak clearly and concisely so listeners can understand; and regularly understand the speech of another person.</p> <p>The physical demands described here are representative of those that must be met by this position to successfully perform the essential functions of this job. After completion of 90 days, this position may allow for a hybrid schedule generally in-office a minimum of three (3) days per week. Additional days in-office may be required depending on business need and the demands of specific tasks. The hybrid work structure may change at any time, including the number of in-office days requirement.</p> <p>Compensation:</p> <p>Holland & Hart offers of employment take into consideration a candidate's education, training, and experience, as well as the position's work location, external market and internal value, including seniority and merit systems, and internal pay alignment when determining the salary level for potential new employees. The Colorado salary range is $22.42 to $37.37 hourly. A discretionary bonus may be available based upon performance.</p> <p>Application Window:</p> <p>The application window is anticipated to close on or after Friday, April 17, 2026.
