<p>Position Title: Event Operations Coordinator</p> <p>Reports To: Director of Events & Conference Services</p> <p>Salary: $64,350</p> <p>Position Summary:</p> <p>The Event Operations Coordinator is a ten month (generally mid-August to mid-May) employee who supports the Events & Conference Services department by playing a crucial role in coordinating the physical and technological aspects of event preparation and execution. This position is responsible for managing the detailed set-up and breakdown of event spaces, ensuring each venue is perfectly arranged to meet the specific needs of a wide variety of events, including high-profile academic gatherings, internal and external conferences, and various departmental and student life events. The Event Operations Coordinator will oversee all logistical elements, from room layouts to audiovisual equipment, and will be the primary troubleshooter for any issues that arise during events.</p> <p>The ideal candidate will excel in strategic planning, operational logistics and execution, with a keen eye for detail with the ability to handle multiple tasks in a fast-paced environment. This role demands strong organizational skills, the ability to manage inventory, student workers and budgets, and a commitment to maintaining the safety and cleanliness of event spaces. Excellent communication and customer service skills are essential for ensuring the success of every event. This is an in person on campus non - remote position.</p> <p>Key Responsibilities:</p> <ul> <li> <p>Plan and perform physical event set-ups and breakdowns (including room layouts and audiovisual equipment) for all meetings and events managed by Events & Conference Services (internal, co-sponsored and external).</p> </li><li> <p>Ensure the readiness of event spaces prior to and throughout event productions.</p> </li><li> <p>Available to troubleshoot any issues that arise during events.</p> </li><li> <p>Strategize, create, and submit weekly operations schedules for self and supporting staff based on event venue usage.</p> </li><li> <p>Support the hiring, management, and communicate work schedules for student workers or staff assisting with event setups and staffing events.</p> </li><li> <p>Responsible for event-related furniture, equipment, audiovisual inventory, storage, reporting and repairs as needed.</p> </li><li> <p>Assist with the maintenance of the University's employment and federal student work-study budget.</p> </li><li> <p>Draft and maintain operational documentation, including technical manuals, training guides, and standard operating procedures.</p> </li><li> <p>Uphold standards for safety, cleanliness, and ADA accessibility in all event spaces.</p> </li><li> <p>Provide excellent customer service and maintain professional communication through email and phone as needed.</p> </li><li> <p>Collaborate with the Director on strategic improvements to departmental processes and policies.</p> </li><li> <p>Other duties and special projects as assigned.</p> </li></ul> <p>Education:</p> <ul> <li> <p>Associates degree required</p> </li><li> <p>Bachelors degree preferred</p> </li><li> <p>Equivalent experience may substitute for some educational requirements</p> </li></ul> <p>Work Experience:</p> <ul> <li>At least 2 years of experience in an event-driven industry that includes problem-solving, staff supervision/management, strong communication skills, and the ability to physically set up furniture for events. </li></ul> <p>Additional Requirements:</p> <ul> <li> <p>Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously; time management skills are critical.</p> </li><li> <p>Ability to follow verbal and written instructions and carry out all tasks assigned in a timely manner in a deadline-driven environment with multiple changes to the event schedule.</p> </li><li> <p>Ability to work under pressure in a fast-paced, event-driven environment and possess strong problem-solving skills while maintaining composure and professionalism.</p> </li><li> <p>Excellent oral and written communication skills.</p> </li><li> <p>Ability to work independently and as part of a team.</p> </li><li> <p>Ability to build and lead a high-performing team, especially student staff.</p> </li><li> <p>Maintain a flexible schedule, including evenings and weekends as needed.</p> </li><li> <p>Evening shift hours including weekends and long hours.</p> </li><li> <p>This position requires the ability to be in email and phone communications, with office hours as needed.</p> </li><li> <p>A high-energy, positive, and hardworking individual is essential for this role due to the physical demands and the need to maintain excellent customer service.</p> </li><li> <p>Knowledge of concepts, best practices, and procedures in operating audiovisual systems.</p> </li><li> <p>Ability to lift 50 lbs. and perform extensive physical labor to move, set up, and break down furniture.</p> </li><li> <p>Valid drivers license.</p> </li></ul> <p>Founded in 1853, Manhattan University is an independent Catholic Lasallian institution located in Riverdale, NY that embraces students of all faiths, cultures, and traditions.
