<p>Application Deadline: 9/5/2025</p> <p>Salary: $65,000 - $67,500 per year</p> <p>This is a full time position.</p> <p>Duties</p> <p>Join Wilder's journey to be here for good as the Shared Services Administrative Coordinator! This position provides administrative support to the Executive Office and members of the Executive Team (the President and CEO, Chief of Staff, VP of Human Resource and Chief Financial Officer). Under their direction, the Shared Services Administrative Coordinator supports calendaring, meeting preparation, events planning and execution, accounts payable processes, and Executive Office operations. This position reports to the Chief of Staff and will work closely with members of the Executive Team and Board Administrator and Strategy Projects Manager.</p> <p>Duties of the Shared Services Administrative Coordinator include:</p> <p>Administrative Support for Executives: Provide calendar management, scheduling, meeting support, and complete financial reporting processes for Executives (the President and CEO, Chief of Staff, VP of Human Resource and Chief Financial Officer).</p> <p>Logistical Support for Internal and External Meetings and Events: Schedule, manage logistics for internal Foundation Supervisor, Town Hall, Executive Team, and board related meetings. Includes arranging refreshments and equipment/media for meetings as necessary (virtual/hybrid/in-person), assist with the prep and dissemination of agendas and meeting materials. Support with planning and execution of special events.</p> <p>Executive Office Administration: Provide excellent customer service to internal and external audiences. Serve as first point of contact for Executive Office inquires and needs. Ensure effective and efficient operations.</p> <p>Special Projects Management: Provide support for short-term or cyclical projects as determined by the Executive Office or WRMG leaders.</p> <p>Job Qualifications</p> <p>Five to eight (5-8) years of administrative experience supporting multiple high level executives. Associates Degree required; Bachelor's Degree preferred. Must have experience with virtual and in-person event/meeting planning, logistics management, and execution. Team player with leadership skills. Ability and desire to interact with people at all management levels, to ensure maximum performance, even under pressure, and to show discretion in handling confidential and personnel information. Marked ability to coordinate and implement communications strategies. Diplomacy, respect, autonomy, and self-starter. Highly organized with attention to details. Ability to work flexible hours when required. High proficiency in Microsoft Office and SharePoint. Strong writing and editing skills. Excellent knowledge of office procedures and business management skills. Flexible and able to work with a diverse team and adapt to meet the needs of a diverse clientele. Ability to work independently, manage time well, handle multiple priorities and frequent interruptions, and complete assignments on time. Experience working with Microsoft 365 applications. Experience in a nonprofit environment preferred.
