<p>Job Summary:</p> <p>The Program Assistant provides programmatic and administrative support to the Grant-Funded Healthy Start program. This position serves as a key point of contact for participants and visitors, coordinates referrals, assists with documentation and database management, and supports the program's day-to-day operations. The Program Assistant ensures compliance with program guidelines, maintains accurate records, and assists with quality improvement activities under the direction of the Healthy Start Director.</p> <p>Benefits Offered: In addition to your base salary, you are also eligible to receive:</p> <ul> <li>Generous paid time off </li><li>Birthday holiday and 7 paid holidays </li><li>Medical, Dental & Vision Coverage </li><li>Company-paid life insurance. </li><li>Retirement Plan with matching opportunity </li><li>Employee Assistance Program </li></ul> <p>Essential Duties and Responsibilities:</p> <p>The Program Assistant performs a wide range of duties, including, but not limited to, the following:</p> <ul> <li> <p>Act as the first point of contact and greeter for all Healthy Start participants and visitors in person and via telephone.</p> </li><li> <p>Manage program referrals by logging all incoming referrals, verifying insurance, scheduling intakes for the Enrollment Specialist, and providing resources to ineligible referrals.</p> </li><li> <p>Work with case managers to upload required program documents into the database.</p> </li><li> <p>Coordinate the program's partnership with Healthy Steps Diaper Bank, including submitting bi-weekly diaper orders, retrieving and distributing supplies, and monitoring compliance with order limits.</p> </li><li> <p>Complete required workflows in the electronic medical record for participants receiving reimbursable behavioral health services.</p> </li><li> <p>Monitor, maintain, and organize program supplies; ensure the front desk and lobby area remain presentable.</p> </li><li> <p>Assist with departmental ordering and inventory management as directed by the Director.</p> </li><li> <p>Support program quality improvement activities and collaboration with internal referral partners.</p> </li><li> <p>Participate in department meetings, events, and outreach activities.</p> </li><li> <p>Ensure compliance with policies, program funder requirements, and regulatory standards.</p> </li><li> <p>Enter all required documentation electronically into appropriate databases accurately and efficiently.</p> </li><li> <p>Track and complete continuing education credits as required by program regulations.</p> </li></ul> <p>Requirements</p> <p>Administrative and Organizational Skills: Strong time management, organization, attention to detail, customer service, and problem-solving abilities.</p> <p>Technical Skills: Proficiency in basic computer and data entry tasks with the ability to learn new databases or software.</p> <p>Interpersonal Skills: Courteous, effective communicator with individuals from diverse backgrounds.</p> <p>Team Player: Cooperative and dependable, fostering positive relationships with colleagues and community partners.</p> <p>Education: High school diploma or equivalent required.</p> <p>Driver's License: Valid driver's license and ability to travel throughout the service area.</p> <p>Preferred Qualifications</p> <p>Two (2) years of experience as a program assistant, administrative assistant, or equivalent role.</p> <p>Knowledge of community resources in Dauphin County and surrounding areas.</p> <p>Bilingual in Spanish preferred.</p> <p>This job description is a general outline of duties performed and is not to be misconstrued as encompassing all duties performed within the position.
