<p>Class Concept</p> <p>Are you looking for an opportunity to support day-to-day operations of a beautiful, thriving community in central Ohio? Then we want to hear from you!</p> <p>The City of Dublin is seeking qualified candidates for a full-time Administrative Support II role within the Division of Public Service. The hours for this role will be Monday - Friday, 8am - 5pm.</p> <p>The primary focus of this role will include front desk coverage, special events planning, seasonal staff support, administration of employee uniform rentals, LMC meeting minutes, Dublin cemetery plot sales, GoDublin requests tracking, and assisting other Administrative Support staff with their duties as needed.</p> <p>Given the nature of this classification's duties/responsibilities, it has been designated as Non-Exempt under the governing Fair Labor Standards Act regulations and, therefore, is entitled to formal overtime compensation and/or formal compensatory time.</p> <p>Examples of Duties</p> <p>Essential Functions:</p> <ul> <li>Performs skilled and specialized administrative duties for assigned unit including calendar management, data entry, reports and memos, budget tracking, accounting and billing records management, financial transactions, travel and training coordination, editing correspondence, ordering office supplies, and special events planning. </li><li>Organizes and attends meetings, creates related agendas and meeting minutes. </li><li>Prepares travel estimates and reports, arranges travel and/or training reservations, and creates purchase requisitions for travel and/or training expenses. </li><li>Responsible for records management and retention including scanning and records destruction in accordance with established retention guidelines. </li><li>Greets visitors and routes them to appropriate individuals. </li><li>Screens and prioritizes incoming calls. </li><li>Researches and responds to internal and external customer inquiries and takes appropriate action. </li><li>Serves as a resource regarding defined set of policies and procedures. </li><li>Drafts and disseminates various documents including communications, presentations, handouts, conference and seminar materials, reports, brochures, and displays. </li><li>Provides functional training to assigned seasonal or temporary staff as needed. </li><li>Takes active role in managing all or part of projects. </li><li>Oversees volunteers on work projects or events as needed. </li><li>Coordinates employee uniform rentals. </li><li>Monitors status of GoDublin requests. </li><li>Assists members of the public with Dublin cemetery plot sales. </li><li>May be exposed to confidential and sensitive information acquired incidental to, or as part of job responsibilities. </li></ul> <p>Supervisory Responsibilities: None</p> <p>Typical Qualifications</p> <p>Minimum Qualifications:</p> <ul> <li>High School diploma or GED and 3-5 years' work experience performing intermediate level clerical and administrative support responsibilities. </li><li>Intermediate coursework in application of Microsoft Office Suite, computer operations. </li><li>Demonstrable skill in application of proprietary Software used by the assigned department, or strong technological background to efficiently learn proprietary software. </li></ul> <p>Physical Requirements:</p> <ul> <li>Ability to operate standard office equipment in performing essential functions of work. </li><li>Ability to type in a sustained and continuous manner. </li></ul> <p>Other Qualifications:</p> <ul> <li>Regular attendance, as governed by and in accordance with applicable rules, regulations, procedures and laws, is regarded as an essential requirement of this classification. </li><li>Compliance with training directives established by supervisory/managerial personnel. </li><li>Adherence to all applicable Federal and State safety laws, rules, and regulations and City safety policies/procedures. </li><li>Incumbent must model the following established core values: Integrity, Respect, Communication, Teamwork, Accountability, Positive Attitude, and Dedication to Service. </li></ul> <p>Core Competencies</p> <p>Customer Focus: Is dedicated to meeting the expectations and requirements of internal and external customers; Employee or family coverage is available. Additionally our integrated wellness program, Healthy by Choice (HBC), allows employees to earn a waiver of all or a portion of the medical plan premiums.</p> <p>HEALTH SAVINGS ACCOUNT/HEALTH REIMBURSEMENT ACCOUNT</p> <p>Annually, the City will deposit 75% of your health insurance deductible amount into an HSA account in your name.</p> <p>VISION AND DENTAL</p> <p>The City pays 100% of the premium for dental and vision. Coverage levels will be explained in further detail at time of hire.</p> <p>LIFE INSURANCE</p> <p>The City pays 100% of the premium for 1.5 times your salary up to $150,000 term life insurance coverage for the employee. Supplemental insurance is available.</p> <p>RETIREMENT PENSION</p> <p>The City contributes 14% monthly toward retirement benefits offered through the Ohio Public Employee Retirement System. The employee pension payment share is 10% of gross salary.</p> <p>VACATION</p> <p>New employees accrue two weeks of paid vacation their first year. Vacation time increases with length of service time.
