<p>Overview</p> <p>Maintain business professionalism at the front desk in the Corporate Plant while providing administrative support to the sales team. Responsible for a multiline telephone system to answer incoming calls and direct callers to appropriate personnel. Greet and assist visitors. Excellent business verbal (pleasant telephone voice) and written communication. Perform a variety of clerical duties such as typing, data entry and schedule coordination. Results-oriented professional with strong attention to detail.</p> <p>Responsibilities</p> <p>Sales Operations Support</p> <ul> <li>Maintain department's Outlook shared mailbox including distribution of faxes electronically to appropriate departments. </li><li>Process incoming requests for new dealer accounts by entering information into CRM. </li><li>Process internal forms submitted for access to dealer portal. </li><li>Maintain dealer pages for accounts who have changes status in Marketing portal. </li><li>Update and maintain customer and customer contact information in company database(s). </li><li>Set up new dealer accounts including Contacts and Ship To addresses. </li><li>Maintain and process new Ship To addresses and changes on accounts. </li><li>Process changes on Accounts including changes to Bruno's subcontractor network. </li><li>Collate and mail sales correspondence </li><li>Assist with troubleshooting literature requests on Bruno's Marketing portal. </li><li>Perform additional duties as assigned </li></ul> <p>Lobby/Front Desk Responsibilities</p> <ul> <li>Verbally answer incoming telephone calls on dedicated direct local phone line (not 800#), determine purpose of calls and forward to appropriate personnel or department. </li><li>Answer questions about organization and provide callers with address, directions, and other information. </li><li>Welcome on-site visitors with appointment, job applicants, and new hires and direct to appropriate personnel </li><li>Monitor visitor access by overseeing sign in procedures. </li><li>Retrieve mail from mailbox onsite, sort/distribute interoffice mail to appropriate assigned distribution areas, run mail through postage meter and take mail to mailbox. </li><li>Update lobby signage </li><li>Order office supplies </li><li>Maintain the appearance of front lobby including over seasonal decorating and stock copier rooms </li></ul> <p>Qualifications</p> <p>Education and Experience:</p> <ul> <li>High school diploma or equivalent </li><li>One year reception or administrative experience </li><li>Microsoft Office suite proficiency </li><li>Proficient and accurate typing skills (50 wpm) </li><li>Experience in Epicor ERP system and Salesforce CRM is a plus </li></ul> <p>Skills & Abilities:</p> <ul> <li>Read, analyze, and interpret a variety of information, such as technical procedures, business correspondence, and governmental regulations furnished in written, oral or diagram form. </li><li>Create business-level written correspondence and verbally present information to internal and external customers. </li><li>Requires job related software skills, MS Office and the ability to operate a variety of standard office equipment. </li></ul> <p>Working Conditions/Physical Demands:</p> <ul> <li>Regular office environment. </li><li>Lift up to 30 pounds occasionally </li><li>While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or touch; and talk or hear. </li><li>The employee is occasionally required to move around. </li></ul>
